An abstract is a condensed summary that represents the essence of a document, giving readers enough information to decide whether the full text is worth their time. In library and information science, abstracting is a core skill because abstracts act as document surrogates that power indexing, retrieval, and the selective dissemination of information. Writing one well is harder than it looks. A good abstract has to be accurate, self-contained, and tight, all at once. This guide breaks the process into three clear steps and then flags the mistakes that trip people up most often.

What an abstract actually does

Before getting into the steps, it helps to be clear about the goal. An abstract is a short summary that concisely reports the aims, methods, results, and conclusions of a piece of work. It is not an introduction, and it is not a teaser. It is a complete, miniature version of the document that can stand entirely on its own.

In an academic library setting, abstracts are especially important because they are indexed in databases and serve as the most requested reference sources for accessing registered information. When a researcher searches a database like Scopus or PubMed, the abstract is often the only part they read before deciding to retrieve the full article. That makes the abstract a gatekeeper. Write it poorly, and valuable research stays buried.

Two broad types matter here. An indicative abstract describes the type of article and the author’s approach without giving specific data, while an informative abstract summarizes enough of the findings to relieve the reader of needing to read the full article. The informative abstract is the most common in research writing, so the steps below focus mainly on that style, while noting where the indicative form differs.

Step 1: Identifying key information

You cannot summarize what you have not understood. The first step is to read the source document carefully and pull out the details that genuinely matter. The trap here is treating every sentence as equally important. It is not.

Read the whole document first

Read the article from start to finish before writing a single word. A quick skim of the introduction and conclusion is not enough, because the methods and results often hold the most important content. As you read, note the document’s central purpose, its scope, the methods used, the main findings, and the conclusions drawn.

Look in the right places

Most research articles follow the IMRAD structure: Introduction, Methods, Results, and Discussion. This structure is your map. The introduction tells you the problem and purpose. The methods tell you how the study was done. The results give you the findings. The discussion gives you the interpretation and conclusions. Pulling one or two key points from each section gives you a balanced set of raw material.

Distinguish the essential from the merely interesting

An article contains far more detail than an abstract can hold. Your job is to identify the load-bearing facts. Ask yourself: if a reader knew only this one point, would they understand what the study was about? Background context, literature review, and minor examples are usually not essential. The core elements to capture are the background or purpose, the methods, the key results, and the conclusions. Everything else is supporting detail that belongs in the full text, not the surrogate.

Keep your own opinion out

An important principle in library abstracting is objectivity. The abstract must faithfully represent the document without distortion, personal opinion, or interpretation, using neutral and unbiased language. You are not reviewing or critiquing the work. You are representing it. The only exception is a critical abstract, a specialized type that does evaluate the work, but the standard informative and indicative abstracts stay strictly neutral.

Step 2: Organizing the information

Once you have your key points, the next step is to arrange them in a logical order. A jumble of facts, even accurate ones, makes a confusing abstract. Structure is what turns a list into a summary.

Follow a logical sequence

The most reliable structure mirrors the IMRAD format. Start with the purpose, move to the scope and methods, present the main results, and finish with the conclusions. This sequence answers the questions a reader naturally asks in the order they ask them: What is this about? How was it done? What was found? What does it mean?

A useful rule of thumb is to spend roughly a quarter of the abstract on the purpose and importance of the research, with the rest distributed across methods, results, and discussion. This stops you from writing three sentences of background and then cramming the findings into a single rushed line.

Define the scope clearly

Scope tells the reader what the document covers and, by implication, what it leaves out. State the subject area, the population or sample studied, and any limits on time, place, or focus. For an Indian agricultural study, for example, the scope might specify the crop, the region, and the years covered. A reader scanning a database can then immediately judge relevance.

State objectives and conclusions plainly

The objective is the problem the work set out to solve. The conclusion is what it found or recommended. These two are the bookends of a strong abstract, and they should be unmistakable. A weak abstract often tells you what was studied but never tells you what was concluded. Make sure your conclusion actually states an outcome rather than just promising one.

Consider a structured format

In fields like medicine and the health sciences, abstracts often use labeled headings such as Background, Methods, Results, and Conclusions. Structured versus narrative abstracts is a recognized distinction in abstracting theory. A structured abstract improves clarity and makes scanning easier, while a narrative abstract reads as a single flowing paragraph. The choice depends on the document type and where the abstract will appear, so check the conventions of the relevant database or journal.

Step 3: Writing the abstract

With your material identified and organized, the actual writing becomes much easier. This step is about expressing your points in clear, economical prose.

Be clear and concise

Length matters. Most abstracts run around 150 to 300 words in a single paragraph, though the exact limit varies by publication. Every sentence should earn its place. If a word adds nothing, cut it. The discipline of a tight word count forces you to keep only what is essential, which is the whole point of an abstract.

Prefer the active voice

Active voice is shorter and clearer than passive voice. Expert guidance recommends using active voice instead of passive voice, where the subject carries the action, to make writing more direct and reduce word count. Compare “the data were analyzed by the researchers” with “we analyzed the data.” The second is shorter and reads better. That said, some passive constructions are unavoidable in academic writing, so the goal is to prefer the active voice rather than ban the passive one entirely.

Avoid jargon and undefined acronyms

An abstract is frequently read by people outside the immediate specialty. The abstract should be understandable to readers who are not familiar with your topic, which means avoiding obscure jargon. Spell out acronyms on first use, or avoid them if they appear only once. Specialized terms that the field genuinely requires can stay, but invented shorthand and dense technical language should go.

Get the citation question right

One rule surprises many students: in most standard abstracts, you should avoid citing sources in the abstract. The abstract summarizes the document itself, not the literature it draws on. References belong in the body of the work. When a citation is unavoidable, such as when a study directly extends one specific earlier work, give the full reference within the abstract so it can stand alone. As for citation style, follow whatever standard the publication or institution requires, whether APA, MLA, or another format, and apply it consistently.

Mind your verb tenses

Tense choice signals what kind of information you are giving. A common convention is to use the past tense for methods and results and the present tense for general claims and implications. You completed the study, so the methods are past. The conclusions you draw are ongoing claims, so they sit in the present. Getting this right makes the abstract read naturally to an experienced reader.

Common mistakes to avoid

Even careful writers fall into the same handful of traps. Knowing them in advance is the easiest way to avoid them.

Ambiguity and vagueness

The most damaging mistake is being vague about findings. An abstract that says a study “examines the causes” of a problem but never states what those causes are has failed at its main job. Replace “this report investigates student performance” with a sentence that actually reports the result. The reader wants the answer, not just the question.

Over-complication

Trying to pack in too much detail produces an abstract that is dense and unreadable. Tables of statistics, long lists, and detailed background descriptions do not belong here. An abstract is not expected to provide detailed definitions, background information, or discussions of other scholars’ work. Keep the high-level picture and leave the fine grain to the full document.

Treating the abstract as an introduction

An abstract is a complete summary, not the opening paragraph of the paper. Many drafts read like a setup that trails off without delivering the findings. Remember that the abstract should cover all parts of the document, including the conclusions, in proportion. If your draft stops at the methods, it is an introduction, not an abstract.

Writing it too early

When you are abstracting your own work, write the abstract last. You can only summarize a document accurately once it is finished, so the abstract should be written after the full paper so you can accurately summarize the findings. Drafting it early almost always means revising it later when the content shifts.

Poor structure and inconsistency

An abstract that jumps between topics, repeats itself, or mixes up the order of purpose and conclusion confuses readers. Stick to one logical sequence. Read your finished draft aloud once. If it flows from purpose to method to result to conclusion without backtracking, the structure is sound. If you find yourself getting lost, the reader will too.

Skipping the review step

A first draft is rarely a final draft. Stepping away from the draft and returning with a fresh perspective to evaluate its content, structure, and effectiveness catches errors that you miss in the moment. Check that the abstract is accurate, complete, and within the word limit before considering it done.
