Finding the right information quickly is one of the most valuable skills a researcher can develop. Whether you are working on a dissertation, a class assignment, or a literature review, the difference between hours of frustration and a productive search session often comes down to technique. Knowing how to search is just as important as knowing where to search. This post breaks down the core search techniques used in literature retrieval, from choosing between subject and author approaches to building smart keyword strategies and filtering your results.

Subject vs. author approach: Two primary search methods

Most literature searches begin with one of two approaches: searching by subject or searching by author. Each serves a different purpose, and the best researchers know when to switch between them.

The subject approach focuses on a topic or theme rather than a person. You enter terms that describe the concept you are studying, and the database returns materials connected to that idea. For example, if you are researching library information systems, you might search for terms like “information management,” “digital libraries,” or “information retrieval systems.” This approach is ideal when you want a broad view of a field and need to gather a variety of resources covering different angles of a question. A key advantage is discovery: a subject search often surfaces relevant material you did not know existed. The trade-off is volume. A broad subject search can return a large pile of results, some only loosely connected to your actual question.

The author approach works in the opposite direction. Instead of casting a wide net over a topic, you focus on a specific researcher or scholar who has published in your area. This is useful once you have identified a leading expert whose work shapes a field. By pulling up everything a particular author has written, you can trace the development of their ideas and find closely related studies. Databases let you search a dedicated author field, which prevents confusion when a name also appears as a keyword elsewhere in a record.

Choosing the right search method

The method you pick should match the stage and goal of your research. Neither approach is universally better; they answer different questions.

When the subject approach works best

Reach for a subject search at the start of a project, when you are still mapping a field and do not yet know who the major voices are. It is the right choice when your question is conceptual (“What are the effects of open access on citation rates?”) rather than tied to a particular person. The subject approach also helps when you need comprehensive coverage, such as when preparing a systematic review or an in-depth literature review, where missing relevant studies would weaken your work.

When the author approach works best

Switch to an author search once a name keeps appearing in your reading. If three different articles all cite the same scholar, that scholar is worth searching directly. The author approach is also valuable for following a specific line of inquiry over time, since a single researcher often builds on their earlier work across many publications. A related and powerful technique is citation searching, which connects the two approaches: you can start with one relevant article and examine its reference list to find earlier sources it cited, or look forward to see which newer papers have cited it. This helps you build a more complete picture of a research conversation.

The role of keywords and synonyms

Whichever approach you use, your results are only as good as the words you type. Databases generally do not understand natural language the way a person does, so the search terms you choose directly control what you find. Choosing terminology carefully is one of the most underrated skills in research.

Why a single keyword is rarely enough

Different authors describe the same idea in different ways. One writer may study “college students” while another studies “university students,” and a third refers to “undergraduates.” A search for only one of these terms will miss the others entirely. The solution is to brainstorm synonyms and related terms for each main concept before you search. A concept like “self-esteem” might also appear as “self-worth,” so listing alternatives ensures you capture relevant material regardless of an author’s word choice.

Keywords versus subject headings

There is an important distinction between free-text keywords and controlled vocabulary. Keywords are the everyday words you choose yourself. Subject headings, on the other hand, are official terms that a database assigns to organize all articles on the same topic under one preferred label, regardless of the words an author used. Many databases provide a thesaurus where you can look up the recommended subject heading for a given keyword. A strong strategy uses both free-text keyword searching and subject heading searching together, so you catch articles that use unusual wording as well as those indexed under a standard term.

Combining terms with Boolean operators

Once you have your keywords and synonyms, Boolean operators let you connect them into a precise search. Named after the mathematician George Boole, these three small words do most of the heavy lifting in database searching.

AND narrows a search by requiring that all your terms appear in each result. A search for “hospital AND infection” returns only records that contain both ideas. OR broadens a search by accepting any one of your terms, which makes it perfect for linking synonyms, as in “teenagers OR adolescents OR young people.” NOT excludes a term to remove unwanted results, though you should use it carefully because it can accidentally eliminate relevant material too.

Two further tools sharpen these operators. Truncation, usually marked with an asterisk, finds all word endings from a common stem, so “educat*” retrieves “educate,” “education,” and “educating” in one go. A wildcard, often a question mark, replaces a single character to handle spelling variations, so “colo?r” finds both “color” and “colour.” You can also use nesting with parentheses to control how a complex search is read, much like in mathematics, so that “obesity AND (paediatric OR child*)” groups the synonyms together correctly.

Filtering search results

A good search strategy almost always returns more than you can read. The next step is to filter results down to what is genuinely useful. Most databases offer an advanced search screen with several limiting options.

Time period

Restricting your search by publication date keeps your work current. For fast-moving fields such as technology or medicine, you may want only the last five years. For historical or foundational research, older material may be exactly what you need. Many databases also let you save searches and set up alerts, so you are notified when new publications match your query.

Geography

Limiting by region or country helps when your research has a local dimension. A study on educational policy, for example, is far more useful when filtered to a specific national context rather than mixing findings from many different systems. This is especially relevant for students working on India-specific topics, where local studies carry more weight than general international literature.

Document type

Filtering by document type lets you target the format you need, whether that is peer-reviewed journal articles, conference papers, books, theses, or reviews. If you only want empirical research, you can exclude editorials and opinion pieces. These field-level filters allow you to specify exactly where your terms should appear and what kind of material should be returned, making the whole search far more precise.

Online and offline sources

Effective research draws on both digital and print resources. Treating them as competing options is a mistake; they complement each other.

Digital databases and repositories

Online databases are the backbone of modern literature searching because they allow rapid keyword searching, Boolean logic, and instant filtering. For research scholars, institutional repositories are particularly valuable. Shodhganga, the digital repository of theses and dissertations maintained by the INFLIBNET Centre under the University Grants Commission, provides open access to a vast collection of doctoral theses submitted across hundreds of universities. Repositories like this help researchers avoid duplicating work that has already been done and give visibility to research that might otherwise go unseen. International databases, search engines like Google Scholar, and open-access journals round out the digital toolkit.

Traditional print resources

Print resources still matter. Many older books, reference works, government reports, and regional publications have never been digitized, and the only way to access them is through a physical library. Print bibliographies, indexes, and abstracts can point you toward sources that do not surface in online searches. Reference librarians remain one of the most underused resources of all, capable of guiding you to specialized collections and search tools.

Bringing them together

The strongest searches integrate both worlds. You might begin with a broad subject search in an online database, follow the citation trail to identify key authors, then visit a library to consult a foundational print text that is not available digitally. So-called grey literature, such as reports, working papers, and government documents, often sits outside conventional databases and may exist only in print or on an organization’s website. Because grey literature is not always peer reviewed, it deserves a critical eye regarding the credibility of its source, but it can be a goldmine of current data. Combining online speed with offline depth gives your research a foundation that neither source could provide alone.

Putting the techniques together

A polished search rarely happens in a single attempt. It is a cycle: choose an approach, build a keyword set with synonyms, combine terms with Boolean operators, run the search, filter the results, and then refine based on what you find. Each pass teaches you new terms and better strategies. Treating search as an iterative process, rather than a one-time task, is what separates a quick surface search from a thorough one.
