Every researcher, student, and professional faces the same problem: there is far too much information to read and far too little time to make sense of it. Scattered across journals, reports, patents, and databases, raw data is rarely usable in its original form. This is exactly the gap that information consolidation products are designed to fill. They take fragmented information from many sources, evaluate it, and restructure it into focused products that a defined user group can actually use. In this post we will look at what these products are, the major categories they fall into, the criteria each must meet, and how they serve real users across different fields.

What information consolidation means

Information consolidation is the purposeful gathering, analysis, and restructuring of information from multiple sources into a more accessible and useful form for a specific audience. The idea was formalised in a landmark 1981 UNESCO handbook prepared by Tefko Saracevic and Judith Wood, which defined it as the purposeful structuring of existing public knowledge so that people who could not easily use that knowledge in its original form can now access and apply it.

The key word is purposeful. Consolidation is never random collection. It is built around a clearly defined user group, and every decision about what to include and how to present it is made with that group in mind. As library and information science (LIS) scholars describe it, the process presupposes three connected activities: information analysis, consolidation, and repackaging. The product that emerges almost always differs in structure, format, or medium from the original sources.

This matters because of a problem every field now shares. The volume of published material grows faster than anyone can read it. A specialist wants relevant information that has already been selected, sieved, and repackaged so they can save their time, which is why preparing reviews and similar products became a core library service in scientific and corporate settings.

Major types of consolidation products

Information consolidation gives rise to several distinct product types. Each serves a different purpose and a different user group, even though they share the same underlying process of analysis and synthesis. Below are the major categories.

Reviews

A review is a condensed literary work that gives an overview of progress in a subject by gathering and integrating information from primary sources. It does not present original experimental data. Instead, it assesses related concepts from many articles, summarises them, and presents them in an abridged form. This helps a user understand either the whole scope of a subject, the recent advances within it, or its growth trends.

The difference between a review and original research is important. A research paper is built on primary data the authors collect themselves, while a review paper is based on secondary data drawn from other published studies, identifying themes and trends to give an overall picture. Well-known examples carry titles such as Annual Review of… or International Review of…, including the long-running Annual Review of Information Science and Technology.

State-of-the-art reports

A state-of-the-art report describes the current level of development in a field. It is an assessment of where scientific or technical advancement has reached so far, acting as a benchmark of progress. It may indicate where the field needs to move next, but its main job is to consolidate what is currently known. A good report does not simply list interesting documents. It organises thinking by comparing different sources to build a coherent analysis, and it states the keywords, time period, and scope it covered.

Trend reports

A trend report focuses on the direction in which a field is moving. Where a state-of-the-art report tells you where things stand now, a trend report points to where they are heading. For example, a trends paper on artificial intelligence might examine emerging uses in consumer behaviour, ethical questions raised by the technology, and how people are responding to its growth. These reports are valuable for planners and decision-makers who need to anticipate change rather than just understand the present.

Technical digests

A digest compresses a body of information into a short summary that contains the essential core of the matter. One LIS definition describes a digest as a body of written matter produced through consolidation by condensation, gathered from various sources and systematically arranged under headings. The terms compendium and epitome are sometimes used as synonyms. Established examples include the energy and environment digest published by The Energy and Resources Institute (TERI) and management digests produced by documentation centres.

Handbooks

A handbook consolidates the most reliable, established knowledge of a field into a single quick-reference work. A handbook on cataloguing and indexing, for instance, brings together best practices that a working professional can consult without searching through scattered primary literature. Handbooks belong to the family of reference works meant for quick consultation rather than cover-to-cover reading, and they typically include tables, glossaries, and clearly organised sections to support fast lookup.

Databases

At the most basic level, consolidation can take the form of a database or bibliography that brings retrieved records together in one searchable place. This is closest to traditional library service and represents the first level of repackaging. Higher-value products build on this foundation by adding analysis and synthesis, but the organised database remains an essential consolidation product in its own right, especially in the digital environment.

Technical writings and critical studies

Technical writing translates specialised content for a particular audience, often rewriting complex material for non-technical readers. Critical studies go further, offering deep analytical examinations of a topic that consolidate information from many sources while evaluating strengths and weaknesses to provide a nuanced perspective. Both depend heavily on the writer’s judgment, not just compilation.

Criteria and requirements for each type

Each category comes with its own set of requirements, but they all share a common foundation of quality. The process begins with selecting information and evaluating its content for merit, validity, and reliability before any restructuring happens. After that, the specific demands of each product type take over.

A review must be comprehensive within its scope and balanced in its treatment of competing findings. A state-of-the-art report must be current and must clearly state its boundaries, since an out-of-date or vaguely scoped report misleads its readers. A trend report must support its claims about direction with evidence rather than speculation. A digest must condense without losing the essential core, which is a harder discipline than it sounds. A handbook must be accurate and easy to navigate, because users consult it under time pressure.

Technical writings have their own well-established quality markers. Specialists in technical communication point to nine characteristics of high-quality technical information: accuracy, clarity, completeness, concreteness, organisation, retrievability, style, task orientation, and visual effectiveness. These apply across most consolidation products. Information professionals add that good repackaging should ensure currency, accuracy, pertinence, comprehensiveness, ease of comprehension, and convenience of use.

Restructuring and synthesising information

Restructuring is the step where consolidation earns its value. The UNESCO handbook lays out the basic processes in order: studying potential users, selecting sources, evaluating information, analysing it to extract the most salient features, restructuring the extracted material into usable content, and finally packaging it. The restructuring stage may involve synthesis, condensation, rewriting, simplifying, or presenting material in review or state-of-the-art form.

Synthesis is the heart of this stage. It is not enough to list the findings of different studies side by side. The professional must combine disparate pieces of data, identify the patterns and themes that emerge, and turn them into insights a user can apply quickly. This is what separates a genuine consolidation product from a simple collection of summaries.

It helps to keep two ideas distinct. Restructuring deals with the content or substance of the information, while packaging deals with the form of its presentation. Restructuring decides what the message says and how it is organised; packaging decides whether it appears in print, audiovisual, or electronic form. Information repackaging is best understood as a systematic process of adding value through analysis, synthesis, editing, and translation, not merely changing the cover.

Restructuring improves usability in concrete ways. It removes redundancy, resolves conflicts between sources, fills gaps, and arranges the result so the intended user can absorb it with minimum effort. A researcher who would otherwise spend weeks reading fifty papers can read one well-structured review instead. That saved time is the real product.

Applications in various fields

Consolidation products were originally developed for science and technology, where the growth of literature is fastest, but their reach now extends much further. The original UNESCO framework noted that these products are built for well-defined user groups: technical reviews for specialists, business and market reports for people in industry, and extension materials for farmers or the general public in health services.

In research and academia, reviews and state-of-the-art reports let scholars grasp a field quickly and identify where their own work fits. In business and industry, market reports and trend reports support strategy and investment decisions. In science and technology, technical digests and handbooks keep engineers and practitioners current without drowning them in primary literature. In agriculture and public health, extension materials repackage technical findings into practical guidance for non-specialists who need to act on it.

What unites all these applications is the same logic. Decision-makers and researchers face an ocean of data, and consolidation products give them a reliable route through it. By aggregating, analysing, and synthesising scattered material into a coherent form, these products turn information from a burden into a usable resource.
