Every consolidation project lives or dies at the very first step: choosing what goes into it. An information specialist preparing a state-of-the-art report, a trend digest, or a fact sheet is only ever as reliable as the sources feeding into it. Pull in a shaky preprint, an outdated handbook, or a vendor’s promotional white paper, and the polished final product quietly inherits all of those flaws. This is why information consolidation is defined as the process of evaluating and compressing relevant documents so users receive reliable, concise information. The keyword there is relevant. Before you analyse, synthesise, or repackage anything, you have to select the right raw material. This post walks through how to do exactly that.

Types of information sources
Information sources are conventionally graded by how close they sit to the original event or research. This proximity tells you a great deal about what a source can and cannot be trusted to do.
Primary sources
Primary sources are first-hand records. They include original scholarly research articles, raw data, conference proceedings, patents, standards, theses, government publications, and eyewitness accounts. As the University of Wisconsin-Stevens Point libraries explain, primary sources give researchers direct access to original ideas, events, and data, usually created at the time the observation or event occurred. In science, a journal article in which researchers describe their own experiment, complete with hypothesis, methodology, and results, is the classic primary source.
Secondary sources
Secondary sources analyse, interpret, and synthesise primary material. Review articles, textbooks, biographies, monographs, and critiques fall here. The James Cook University library notes that a secondary source is information about primary information that has been modified, selected, or rearranged for a specific purpose. A useful warning from the same guide: the same document can shift categories depending on use. A newspaper article reporting an event is primary, but the same article becomes secondary when it analyses and comments on that event.
Tertiary sources
Tertiary sources distil and condense primary and secondary material into convenient overviews. Encyclopaedias, dictionaries, handbooks, bibliographies, directories, and guides to literature belong here. For a consolidation specialist, tertiary sources are excellent for orientation and for locating better material, but they are rarely the evidence base itself. You start with them to map the territory, then move toward the original research.
Documentary versus non-documentary sources
The primary-secondary-tertiary scale only covers part of the picture. In library and information science, sources are first split into two broad families: documentary and non-documentary.
Documentary sources
According to the INFLIBNET teaching module, all recorded sources of information, whatever their content or form, count as documentary. These may be published or unpublished, print or electronic. The same module records that S. R. Ranganathan, often called the father of library science in this country, classified documentary sources into four chronological categories based on physical characteristics: conventional (books, periodicals, maps), neo-conventional (standards, specifications, patents, data), non-conventional (audio, visual, audio-visual, microforms), and meta documents. The primary, secondary, and tertiary divisions discussed above are subdivisions within this documentary family.
Non-documentary sources
Non-documentary sources are those not recorded in any fixed form. A separate INFLIBNET module highlights why these matter: when a researcher needs information immediately, they often turn to a colleague or specialist rather than searching a bibliography or visiting a library, simply to save time. These sources fall into two groups. Human sources include experts, colleagues, consultants, and what the literature calls “technological gatekeepers.” Institutional sources include government departments, universities, research institutions, data centres, referral centres, and clearing houses.
For consolidation work, the role of experts and institutions is significant. A specialist building a report on, say, a public health programme may need to interview a programme officer or consult a research institute directly, because the most current operational detail may never appear in a published document. The trade-off is reliability: non-documentary information is fast and current but harder to verify and cite, so it usually supplements rather than replaces the documentary record.
Quality over quantity
It is tempting to measure a consolidation effort by how many sources it draws on. This is the wrong instinct. A report citing fifty mediocre web pages is weaker than one built on eight authoritative studies. The aim of consolidation is to reduce noise for the end user, not to relay it in compressed form.
The reason credibility outranks volume is structural. Consolidation removes context. When you summarise and repackage, the user no longer sees the full original document with its caveats, sample sizes, and limitations. They see your distilled version and trust it. If a weak source slips in, the user has no way to catch the error because you have already done the filtering for them. Volume cannot compensate for this. Ten sources repeating the same unverified claim do not make it true; they often just mean the claim was copied from one shaky origin, a problem sometimes called citation cascade or information laundering.
This is also where the source hierarchy pays off. A handful of well-chosen primary sources, validated through proper channels, will almost always serve a consolidation product better than a large pile of tertiary or unvetted material. Depth of credibility beats breadth of coverage.
The role of peer-reviewed literature
When credibility is the priority, peer-reviewed literature is the gold standard for documentary sources. Peer review exists to validate academic work and improve the quality of published research, and despite its limitations it remains the most widely accepted method of research validation.
How peer review works
The process is straightforward in outline but demanding in practice. As Regis College library describes it, once an article is submitted to a scholarly journal it is reviewed by at least two independent academic experts in the same field, the “peers,” who judge whether the work is good enough and important enough to publish. There is usually a back-and-forth of requested revisions before anything appears in print. A ZB MED overview adds detail on what reviewers actually check: whether the methodology reflects current best practice, whether results are presented transparently and credibly, whether enough information is given to allow replication, and how original the findings are.
Why it matters for consolidation
Peer review supports the integrity of the scientific record. A review in the medical literature indexed by the NIH notes that from a societal perspective the process ensures high-quality, evidence-based findings are published, which is critical in fields like medicine where research influences clinical decisions. For an information specialist, this means a peer-reviewed article arrives pre-filtered by domain experts, a layer of quality control you did not have to perform yourself.
That said, peer review is one measure of quality, not the only one. Regis College usefully points out that a great deal of credible information is not peer-reviewed, including much “gray literature” such as government reports, technical reports, and working papers. The process also does not guarantee correctness, since it is not designed to detect misconduct and does not prevent every invalid paper from slipping through. The practical lesson is to prefer peer-reviewed work where it exists, while still evaluating each source on its own merits rather than treating the “peer-reviewed” label as a free pass.
Best practices for source selection
Selection should be systematic, not intuitive. A widely taught framework is the CRAAP test, developed in 2004 by Sarah Blakeslee and librarians at California State University, Chico. CRAAP stands for Currency, Relevance, Authority, Accuracy, and Purpose, and it gives you a repeatable checklist for any candidate source.
The CRAAP checklist
Run each prospective source through these five questions, drawing on the criteria laid out by the Writing Commons and university library guides:
- Currency: When was this published or last updated? Does your topic need the latest data, or will an older standard work serve? Check publication dates, edition numbers, and whether the information has been superseded.
- Relevance: Does the source actually address your topic and audience? Is the level appropriate, neither too elementary nor too specialised for the user the product is intended for?
- Authority: Who is the author, creator, or publisher? What are their credentials and affiliation? A government body, a university, or a recognised expert carries more weight than an anonymous page.
- Accuracy: Is the information supported by evidence and verifiable against other sources? Is the tone objective rather than emotional? Are claims referenced?
- Purpose: Why does the source exist, to inform, to sell, or to persuade? Promotional or advocacy material can still be useful, but you must read it knowing its agenda.
It is worth noting a limitation. Researchers including Sam Wineburg and colleagues have argued that checklist methods like CRAAP encourage “vertical reading,” staying within a single source, and can leave readers vulnerable to sophisticated misinformation. Newer approaches such as the SIFT method push you to investigate the source externally and trace claims back to their origin. For a consolidation specialist, the practical takeaway is to combine the checklist with cross-verification: never judge a source purely from inside itself.
A working selection routine
Putting it together, a dependable routine for selecting sources looks like this. First, define the user and the question precisely, because relevance is meaningless in the abstract. Second, scan tertiary sources to map the field and identify the key primary and secondary works. Third, prioritise peer-reviewed and authoritative documentary sources, supplementing with non-documentary expert or institutional input where currency demands it. Fourth, run each shortlisted source through CRAAP and cross-check its central claims against at least one independent source. Finally, document why each source made the cut, so the consolidation product has a defensible evidence trail.
