Imagine a researcher needing twenty articles from twelve different journals published by eight different companies. Tracking down each one separately would be slow, expensive, and frustrating. This is exactly the problem that aggregators solve in the world of document delivery. They pull content from many publishers into a single searchable platform, turning a scattered hunt into a single, streamlined process. For libraries that supply documents to students, faculty, and corporate users, aggregators have become one of the most important links in the supply chain. This post explains what aggregators are, looks at the major players, examines the role of Ariel software in transmitting documents, and explores why all of this matters for libraries.

What are aggregators?

An aggregator is a company or platform that collects content from multiple publishers and makes it available through one interface, usually under a single subscription or licensing arrangement. Instead of negotiating with each publisher one by one, a library can subscribe to an aggregator and gain access to hundreds or thousands of journals, e-books, and databases at once. The aggregator handles the licensing, indexing, hosting, and search functionality, while the library simply manages a single point of access.

In the context of document delivery service (DDS), aggregators play a crucial role. When a user requests a specific article or book chapter that a library does not hold, the aggregator’s platform often becomes the source from which that document is retrieved and supplied. The aggregator has already gathered the content, secured the rights, and built the tools to locate items quickly, which is precisely what fast document delivery depends on.

How aggregators differ from publishers

It helps to be clear about the distinction. A publisher produces and owns content, such as a particular journal or book. An aggregator does not create content; it licenses and assembles content from many publishers into a unified collection. A publisher platform like Elsevier’s ScienceDirect or Springer’s SpringerLink gives access to that one publisher’s titles. An aggregator brings together titles from dozens or hundreds of publishers. This is why organisations like OCLC partner with the leading aggregators EBSCO, ProQuest, and Gale, who in turn carry content from a large share of the world’s top academic publishers.

Major aggregators in document delivery

A handful of companies dominate the aggregator landscape. Each has its own strengths, content focus, and delivery tools, but together they form the backbone of how libraries access and supply documents today.

EBSCO

EBSCO is one of the oldest and largest players, having partnered with libraries and publishers for over eight decades. Its flagship platform, EBSCOhost, provides access to a vast range of full-text databases covering subjects from medicine and business to the humanities. EBSCO also built EBSCO Discovery Service (EDS), which is widely described as the most widely deployed index-based discovery service globally. EDS lets a user search across nearly all of a library’s resources, including content from many other publishers and aggregators, through a single search box. For document delivery, this matters because discovery and delivery go hand in hand: users first need to find an article before they can request it.

ProQuest

ProQuest, now part of Clarivate, is another giant. It aggregates dissertations, newspapers, journals, and e-books, and is especially well known for its Ebook Central platform. Many university libraries rely heavily on ProQuest for both content and delivery. A usability study by the University of California libraries, for example, identified ProQuest’s Ebook Central and EBSCOhost for Ebooks as their two primary e-book aggregators. ProQuest’s enormous archive of historical newspapers and theses makes it a key source for documents that are difficult to find anywhere else.

Infotrieve Inc.

Infotrieve took a slightly different approach, focusing on scientific, technical, and medical (STM) content and on serving corporate and research clients rather than only academic libraries. The company built platforms such as the Virtual Library and the Article Finder search tool, operating on a pay-per-article model that let users locate and purchase specific documents on demand. Infotrieve’s reputation in this space was strong enough that, in a 2014 industry review, the research firm Outsell ranked it number one in document delivery services for product quality and performance. Its services were particularly valued by pharmaceutical companies and R&D-heavy organisations that needed niche literature quickly and with full copyright compliance.

Ariel software for document transmission

Finding a document is only half the job. The other half is getting it from the supplying library to the requester, securely and quickly. For many years, this transmission step relied on a piece of software called Ariel.

How Ariel facilitates document delivery

Ariel was introduced in 1991 by the Research Libraries Group (RLG) and quickly became, as one account in a library journal put it, the most efficient method for scanning, transmitting and receiving documents over the Internet. The software manages the entire workflow: it scans a requested document, transmits it between libraries and suppliers over the Internet, and logs its receipt at the other end. In effect, Ariel turns an ordinary computer, scanner, and printer into a dedicated document transmission station.

Compared with older methods like postal mail or fax, Ariel was simpler, faster, and cheaper, and it produced far better image quality. A library could scan a journal article, send it electronically to a requesting library, and have it delivered to the end user as a clean PDF file. This is why Ariel became deeply embedded in interlibrary loan (ILL) practice. As reference resources on interlibrary loan note, articles and portions of books can be delivered electronically with software such as Ariel and supplied to the user as a PDF, while only physical books still need to be shipped.

From Ariel to modern delivery systems

There is a direct link between Ariel and the aggregators discussed earlier. In 2003, Infotrieve acquired the Ariel software from RLG, reinforcing its position as a provider of article distribution services. Ariel was later integrated with interlibrary loan management systems such as ILLiad and VDX, so that scanning, sending, receiving, and printing could be coordinated within a single workflow. Although newer web-based delivery systems have since taken over much of this work, Ariel is still referenced in many e-resource licensing agreements, which sometimes specify that interlibrary loan transmission may take place through Ariel or similar software. Understanding Ariel therefore helps explain how electronic document delivery developed into the systems libraries use today.

Why aggregators matter for libraries

Pulling these threads together, the value of aggregators in document delivery becomes clear. They change both what libraries can offer and how efficiently they can offer it.

Centralized access and simpler administration

The single biggest advantage is centralized access. Before aggregators, a library had to subscribe to each publisher separately, which led to fragmented collections and forced researchers to search across many different sites. With an aggregator, a researcher can search journals, e-books, and databases across many disciplines from one interface. This saves time for users and dramatically reduces the administrative burden on library staff, who manage one relationship instead of dozens. Aggregators also handle indexing, metadata, and copyright compliance, which would otherwise consume enormous staff effort.

There is a cost dimension too. Aggregators often allow flexible models, including subscriptions, perpetual access, demand-driven acquisition, and pay-per-article options. This lets a library tailor spending to actual usage rather than buying everything upfront. For a document delivery operation, the ability to obtain a single article on demand, rather than subscribing to a whole journal, can be a major saving.

The Indian consortia connection

For academic libraries here, aggregators reach users mainly through national consortia. The INFLIBNET Centre, an inter-university centre of the University Grants Commission, runs the e-ShodhSindhu consortium and the N-LIST programme, which provide thousands of colleges and universities with access to aggregated e-journals and databases that individual institutions could never afford alone. Similarly, networks like DELNET coordinate resource sharing and document supply among member libraries across the country. These bodies act as a layer on top of the commercial aggregators, negotiating access on behalf of many institutions and then delivering documents to end users. This is the same principle of centralization at a national scale: pool demand, secure access once, and distribute widely.

Aggregators are not without drawbacks. Content can be added or removed by publishers, so titles available one year may disappear the next. Digital rights management can restrict downloading, printing, and sharing. And heavy dependence on a few large vendors raises concerns about pricing and control. Even so, for the practical task of getting the right document into the right hands quickly, aggregators remain indispensable.
