Walk into any large library and you face a simple problem: thousands of books, and you only want the ones on a single subject. How do you find every title on, say, agricultural economics without flipping through unrelated shelves? The classified catalogue was built to answer exactly this. It is one of the oldest and most powerful tools for subject-based retrieval, and its design owes a great deal to Indian library science. This post explains how a classified catalogue is structured, why subject access matters so much, the lasting contribution of S. R. Ranganathan, and the practical advantages and challenges that come with the system.

What is a classified catalogue?
A classified catalogue is a catalogue in which the main arrangement of entries follows the class numbers assigned to documents by a classification scheme such as the Dewey Decimal Classification (DDC) or Colon Classification. Instead of listing books alphabetically by author or title, it groups them by subject. This means that two books on the same topic sit next to each other in the catalogue, even if their authors’ names are far apart in the alphabet.
The defining feature of a classified catalogue is its bipartite nature. According to the Classified Catalogue Code (CCC), it consists of two parts because some entries are number entries and some are word entries. These two parts are the classified part and the alphabetical part, and each does a distinct job.
The classified part
The classified part is the heart of the catalogue. Here, entries are arranged in the order of their class numbers, producing a systematic and structured display of subjects. This arrangement maps out subordinate and coordinate subject divisions in a logical sequence, mirroring the way specialists think about their fields. Because the order follows the same scheme used to arrange books on the shelves, the catalogue acts as a faithful guide to the collection.
The classified part contains the main entries, which give maximum information about each document, along with any cross reference entries. There is, however, one obvious limitation. A bare class number like 330 or 631.1 means nothing to a reader who does not know the classification scheme. To solve this, guide cards in the classified part carry the verbal equivalent of each class number, and a second part of the catalogue supplies the words readers actually search with.
The alphabetical part
The alphabetical part is the index that leads users into the classified part. It is arranged alphabetically and contains entries for authors, titles, collaborators, series, and subjects, along with the all-important class index entries and cross reference index entries. A reader who knows an author’s name or a book’s title can look it up here and be directed to the correct class number, where the full entry waits in the classified part.
This combination is what makes the system work. The classified part organises knowledge logically; the alphabetical part makes that logical order approachable through familiar words. Without the alphabetical index, a classified catalogue would be very difficult to use, because class numbers are an artificial language that most readers do not speak.
Importance of the subject approach
Most users do not come to a library knowing the exact author or title they need. They come with a question or a topic. A student researching renewable energy, a farmer looking for crop management guides, or a doctor checking treatment literature all begin with a subject, not a name. This is why subject access is the most natural and most frequently used approach to a collection.
The classified catalogue is built precisely for this need. Because entries are physically grouped by subject, a single visit to the right class number reveals everything the library holds on that topic. Researchers can carry out exhaustive literature searches without the fear of missing relevant titles scattered across the alphabet. The arrangement also supports serendipitous discovery, where a user browsing one class number stumbles upon a closely related work they had not thought to look for.
There is a deeper benefit too. A classification scheme arranges subjects hierarchically, so a class number reveals broader, narrower, and related areas at a glance. A reader looking at a specific topic can immediately see its parent discipline and its neighbouring sub-topics. As classification schemes give each resource a precise address based on subject, retrieval becomes far more efficient than blind searching. This hierarchical view is something a simple alphabetical list of titles can never provide.
Ranganathan’s contribution
No discussion of the classified catalogue is complete without S. R. Ranganathan, who shaped much of its modern theory and practice. In 1934 he developed the Classified Catalogue Code (CCC), a cataloguing code designed to work alongside his Colon Classification system. The CCC laid down detailed rules for cataloguing documents in a subject-wise, classified format, and it gave Indian library science a distinctive contribution to the global field.
Class index entries
Ranganathan’s most important idea for subject access is the Class Index Entry. The CCC defines a class index entry as a subject entry that refers from the name of a class to its class number. In plain terms, it is the bridge between the words a reader knows and the numbers the catalogue uses. A reader who searches under the word “Physics” finds a class index entry telling them to look in the classified part under the relevant class number.
These entries sit in the alphabetical part and are prepared from the class numbers of both main entries and cross reference entries. A key strength is economy. For all the books on a particular subject, the catalogue needs only one class index entry, which helps avoid duplication of subject entries while still pointing readers to the whole group of related works.
Chain indexing
To generate these verbal subject headings systematically, Ranganathan developed chain indexing, a method for deriving subject headings from the class number itself. The cataloguer begins where the classifier left off and interprets the class number digit by digit in reverse, producing the words that lead a reader from the alphabetical part to the correct place in the classified part. This was a distinctly different approach from the enumerated subject heading lists used elsewhere, such as the Sears List of Subject Headings or the Library of Congress Subject Headings. It avoided duplicating work and tied the verbal index directly to the logic of the classification scheme.
Advantages of classification in catalogues
The greatest advantage of the classified catalogue is efficient subject retrieval. By organising entries according to subject relationships rather than an arbitrary alphabetical sequence, the catalogue creates what can be thought of as knowledge neighbourhoods, where materials on similar topics appear together. A user working on a research project can quickly gather a wide range of relevant books in one place, which is especially valuable in academic settings where time and access to quality sources matter.
A second benefit is collection management. Because materials are grouped into subject categories, librarians can more easily track holdings and spot gaps. If a library has a strong collection in physics but little in chemistry, this becomes obvious when reviewing the relevant class numbers, helping staff plan future acquisitions in a focused way.
The system also offers a helpful hierarchical structure. The arrangement reveals the relationship between broader and narrower subjects, supporting both deep, exhaustive searches and casual browsing. These same principles carry over to the digital world. Modern Online Public Access Catalogues and digital repositories continue to use subject classification so that resources are arranged systematically rather than scattered, much like their physical counterparts.
Challenges of classified catalogues
For all its strengths, the classified catalogue presents real difficulties. The most significant is that effective use often requires familiarity with the classification scheme. Readers who do not understand what a class number means depend heavily on the alphabetical index, and if that index is incomplete or poorly made, the whole system becomes hard to navigate.
For the librarian, the work is demanding. Subject analysis and classification require specialised expertise, and as research on cataloguing notes, manual classification is time consuming and demands considerable personnel. The complexity of certain subject areas can make consistent classification difficult, and human interpretation introduces a degree of subjectivity. Two cataloguers may reasonably assign slightly different numbers to the same complex work, leading to inconsistency over time.
There are also limitations rooted in the classification schemes themselves. DDC, for example, can produce very long notations for specific subjects and is less hospitable to the addition of new subjects than some rival systems. Maintaining the catalogue as the collection grows, revising entries when schemes are updated, and ensuring the alphabetical index keeps pace all add to the ongoing burden on library staff. These are not reasons to abandon the system, but they explain why building and running a classified catalogue calls for careful, skilled management.
