Chain indexing is one of S.R. Ranganathan’s most celebrated contributions to subject cataloguing. It promises a near-automatic way to derive subject headings straight from a document’s class number, saving the indexer from doing the analytical work all over again. Yet anyone who has actually prepared class index entries knows the process is far less effortless than the textbooks suggest. The method carries a set of structural weaknesses that affect its accuracy, its consistency, and its usefulness in modern catalogues. Understanding these limitations is essential for students who want to use chain indexing thoughtfully rather than mechanically.

Dependence on the classification scheme

The single biggest weakness of chain indexing is that it is not an independent system. It is completely tied to the classification scheme being used. The indexer does not analyse the subject afresh; instead, they “unwind” the class number digit by digit and translate each step into a verbal heading. This means the quality of the index is only ever as good as the classification scheme behind it, and as good as the classifier who built the number in the first place.

If the scheme is logical, hierarchical, and current, chain indexing produces clean, predictable headings. The procedure works smoothly with any scheme whose notation clearly shows the subordination of each step of division, such as Colon Classification, DDC, or Library of Congress Classification. But if the scheme groups subjects too broadly, uses outdated terminology, or fails to provide a co-extensive number, those same defects pass straight into the index. When the classification system is incomplete, outdated, or flawed, the chain indexing built on it inherits those flaws. The indexer cannot fix a problem at the catalogue stage that originated in the classification stage.

A further consequence is inconsistency between libraries. Since each library may classify a document slightly differently, the same book can generate different chains and therefore different subject headings in two catalogues. The method is only as uniform as the classification practice supporting it.

Difficulties with the Dewey Decimal Classification

DDC is the scheme most often paired with chain indexing in Indian library schools, yet it creates specific problems. DDC is essentially a broad grouping scheme. Its enumerated numbers were not always designed to be co-extensive with the exact subject of a document, which means a single DDC number frequently stands for a topic wider than the book actually covers.

This is exactly the difficulty the British National Bibliography (BNB) ran into when it adopted chain indexing in the 1950s. The BNB found DDC inadequate in specificity, currency, and consistency for the range of subjects it had to handle, so it added extra symbols borrowed from the Universal Decimal Classification and used faceted verbal extensions to stretch general DDC numbers into something specific enough to match the document. In other words, the indexers had to repair the scheme before they could index with it.

Broad grouping versus individual documents

For an individual document, this gap between the broad class number and the precise subject is a real obstacle. The textbook treatment of the topic notes that because DDC is a broader grouping scheme, verbal extensions are often needed to make a number specific or co-extensive with the subject of the book. A reader looking for a narrow topic may therefore land on a heading that is too general, or the indexer may have to manually craft an extension that DDC itself never provided. The promise of a purely number-driven, automatic heading breaks down precisely where documents are most specialised.

The need for human intervention

Chain indexing is usually described as a “mechanical” or “semi-mechanical” method, and this is the source of much confusion. In practice, it is not as mechanical as it is made out to be. Human judgement is required at several stages, and that judgement is learned slowly.

The clearest example is the classification of links. As the indexer unwinds the chain, each link must be sorted into one of a few categories. A sought link is one a user is likely to approach the document by; an unsought link is one users are unlikely to search under; and a false link, such as an indicator digit or the Time Facet, represents no real subject at all and is simply ignored. Only sought links generate class index entries, so deciding what counts as “sought” directly controls the size and shape of the index.

Where judgement is unavoidable

Deciding whether a link is sought or unsought is not a fixed rule. It depends on the kind of users a library serves and the kind of services it offers, so each library must form its own policy on how to treat unsought links. The textbook is candid that some links sit on the fence, seemingly belonging to both categories, and that in such cases the indexer should give the benefit of the doubt and treat the link as sought. Crucially, it adds that this sort of judgement can only be acquired through trial and error, which takes time. So far from removing human discretion, chain indexing quietly relies on it. Beginners frequently make different decisions from experienced cataloguers, and the supposedly “automatic” output varies accordingly.

Two more weaknesses appear when the indexer actually starts deriving headings. The first concerns vocabulary. Chain indexing draws its terms directly from the classification schedules, and those schedules use one preferred term for each concept. The method offers no built-in mechanism for handling synonyms. As the textbook treatment of the topic states plainly, it provides no guidance in discovering synonyms. A user who searches under a different word for the same idea may find nothing, because the responsibility for adding “see” references for synonymous terms falls entirely on the indexer’s own knowledge rather than on the system.

The second problem is the missing link. A missing link occurs when a concept that should appear in the chain is not represented in the classification scheme, forcing the indexer to insert it through verbal extension at the point where the chain has a gap. The notation simply does not have a digit for that idea, so the chain breaks. The indexer must recognise the gap and supply the missing term from their own understanding of the subject, which again depends on individual skill.

The vanishing context problem

Related to this is what specialists call the disappearing context. Chain indexing works by reverse rendering, deriving each heading by reading the chain backwards from the specific to the general. The trouble is that only one entry is truly specific while all the others are progressively broader, and reverse rendering of terms can be confusing for the user. As the headings broaden, the full context of the document’s subject gradually vanishes, so the higher entries describe the document less and less precisely. The reader who arrives through a broad heading may not understand exactly what the original document was about.

Issues in the dictionary catalogue

Chain indexing was designed first for the classified catalogue, where a class index entry simply points a user from a verbal heading to a class number. Its application to the dictionary catalogue is far more troublesome, and Ranganathan himself treated those rules as provisional.

The first issue is reduced specificity. In a dictionary catalogue, the chain provides only one specific subject heading derived from the full class number. A composite book that deals with several topics at once may therefore not get adequately indexed, because the single derived heading cannot capture its multiplicity of subjects. Documents with rich, interdisciplinary content are exactly the ones that suffer most.

The second issue is clutter. To compensate for the loss of context, the dictionary catalogue fills up with cross-references. A large number of “see also” references accumulate and end up cluttering the catalogue, making it harder, not easier, for a reader to navigate. The very device meant to connect related subjects becomes visual noise when it multiplies.

An old method in the age of OPACs

Finally, there is the question of currency. The rules for the dictionary catalogue, set out in the fifth edition of the Classified Catalogue Code of 1964, were tentative, and Ranganathan urged that more research be carried out. That further work never really happened. The dictionary-catalogue rules remained underdeveloped while cataloguing itself moved on. The BNB, the method’s most prominent user, eventually replaced chain indexing with PRECIS, and later systems such as POPSI built on the idea rather than using it unchanged. In the era of OPACs, keyword searching, and full-text retrieval, a pre-coordinate method that depends on a single derived heading and a tangle of cross-references can feel decidedly dated. It remains valuable as a teaching tool and as a window into how subject access works, but its practical limitations are real and worth taking seriously.
