Cataloguing a library collection is one of the most demanding tasks in any information centre. Every document needs a subject approach so that readers can find what they need without knowing the exact class number. Chain indexing, developed by Dr. S.R. Ranganathan, solved this challenge in an elegant way: it derives subject headings directly from the class number a document has already been given. The result is a method that saves time, cuts cost, and ties classification and cataloguing into a single workflow. Below we break down exactly why chain indexing works so well and why it remained the backbone of major bibliographies for decades.

Simplicity and efficiency in cataloguing

The biggest practical strength of chain indexing is how much it speeds up the cataloguing process. Once a classifier has assigned a class number to a document, the indexer simply starts from where the classifier left off. There is no need to analyse the subject all over again. As described in Ranganathan’s chain procedure, the cataloguer derives subject headings by interpreting the class number digit by digit in reverse order. No duplication of work takes place between the two stages.

This matters because subject analysis is the slowest part of cataloguing. Deciding what a book is “about” and choosing the right terms takes judgement and time. Chain indexing removes that second round of analysis. The class number already encodes the subject, so the verbal heading is unwound from it step by step. Each digit or group of digits becomes a link in the chain, and each useful link translates into one subject entry.

Working straight from the class number

Because the method is built on the class number, the workflow stays predictable. The class number is itself the result of breaking a subject into its component ideas and linking them together in a fixed order. Retranslating that chain back into words produces a subject heading that genuinely reflects the document’s content. This step-by-step movement from the specific subject up to broader headings gives the indexer a clear, repeatable path rather than a blank page.

No need for a separate subject heading list

Traditional subject cataloguing relies on pre-compiled lists such as the Library of Congress Subject Headings (LCSH) or the Sears List of Subject Headings (SLSH). These lists tell the cataloguer which terms are acceptable. Chain indexing removes this dependency entirely. This is a significant advantage for several reasons. Published subject heading lists are costly to buy and maintain. They are also revised frequently to keep up with new subjects, which means libraries must keep purchasing updated editions. A library using chain indexing avoids this recurring expense. The classification scheme it already owns becomes the source of vocabulary.

Keeping pace with new subjects

New fields of knowledge appear constantly, and printed heading lists struggle to add terms fast enough. Because chain indexing pulls its vocabulary from the classification schedule, any subject that can be classified can also be indexed. There is no waiting for a list to be revised. As long as the classification scheme can express a topic, the indexer can build a subject heading for it. This makes the system far more responsive than one tied to a fixed external list.

Automation and consistency

Chain indexing is often called a mechanical method, and this is one of its defining benefits. The procedure follows a set of rules applied to the class number, which reduces the number of arbitrary decisions the cataloguer has to make. Instead of choosing keywords on instinct, the indexer follows a prescribed order drawn from the classification schedule. This produces a uniform and predictable structure for subject headings across the whole catalogue.

Consistency is the real prize here. In a large library, materials are added, removed, and updated every day, often by different staff members. When subject headings are derived by personal judgement, two cataloguers might index the same book differently. Chain indexing narrows this gap because the same class number, processed by the same rules, yields the same heading. The British National Bibliography adopted chain indexing precisely because it wanted greater specificity and consistency than the basic Dewey number could give on its own.

The limits of automation

It is worth being honest about how mechanical the process really is. Standard study material notes that chain indexing is not as automatic as it is sometimes presented, and that human intervention and judgement are still required. The indexer must decide which links are sought (likely to be searched), which are unsought, and which are false links to be ignored. This screening still depends on skill. The method reduces arbitrary choices, but it does not eliminate the cataloguer’s expertise.

Bridging classification and cataloguing

Before chain indexing, classification and subject cataloguing were treated as two separate jobs, often done by two separate people using two separate tools. Chain indexing brought them together. Ranganathan himself described this as the symbiosis of class numbers and subject headings, a relationship in which the class number acts as a tow-line that pulls the cataloguer toward the correct subject heading. This unified approach means a single person can handle both classification and subject heading assignment. The same intellectual analysis that produces the class number also produces the verbal entries. An alphabetical key to the classified catalogue

Why bibliographies adopted it

It was first used at the Madras University Library in the 1930s, and its use in Britain was popularised by figures such as A.J. Wells and Eric J. Coates. The British National Bibliography applied the technique from the early 1950s and relied on it for roughly two decades. The Indian National Bibliography adopted it as well. For organisations processing thousands of titles a year, a method that cut cost while improving consistency was extremely attractive. The BNB only moved away from chain indexing in the early 1970s when PRECIS, designed by Derek Austin, was introduced to suit computerised production.

A note on dependence

The same feature that makes chain indexing economical also creates its main weakness. Because the method is built entirely on the class number, its quality depends on the quality of the classification scheme and the skill of the classifier. If the class number is poorly constructed, the derived heading will be poor too. The system can also suffer from the “missing chain” problem, where a step in the subject is not represented by a further digit. These limitations led researchers at the Documentation Research and Training Centre to develop POPSI, an indexing system based on Ranganathan’s principles but free from dependence on the class number. Understanding these trade-offs helps explain both why chain indexing succeeded and why later systems evolved from it.
