Walk into any college library in India and you will notice that the books are not arranged randomly. A title on Indian economics sits near other economics books, and a guide to organic chemistry rests beside related science texts. This order is not accidental. It is the result of a careful process called document classification, and one of the most popular tools for doing it is the Dewey Decimal Classification (DDC) system. If you are studying library science, learning how to classify a document step by step is a core skill you will use throughout your career. This guide breaks that process down into clear, manageable stages.

What is document classification?

Document classification is the systematic process of assigning a subject-based number to a document so that materials on similar topics stay together on the shelf. Instead of arranging books by the order in which a library acquired them, classification groups them by what they are about. This is why a reader looking for books on Indian history can find several titles standing side by side rather than scattered across the building.

The DDC, developed by Melvil Dewey and first published in 1876, remains one of the most widely used classification schemes in the world. It organizes books by discipline and subject using numbers, and a library assigns each item a number that fixes its position relative to other books based on subject. Today the system is used by libraries in more than 138 countries, including a large number across India.

Why classification matters

Good classification does more than tidy the shelves. It makes retrieval fast and predictable. When numbers are assigned consistently, a user who finds one useful book will usually find related ones nearby. It also supports a feature Dewey called relative location: a new book on a subject can be inserted at the correct point in an existing sequence rather than being dumped at the end of the collection. This flexibility is one of the reasons the longer a Dewey number is, the more specific the subject it represents.

It also helps to know how classification differs from indexing. Classification organizes the documents themselves into subject groups, while indexing points to specific pieces of information inside those documents. Both are useful, but they answer different questions.

Understanding the structure before you begin

Before classifying anything, you need a mental map of how DDC is built. The system divides all knowledge into ten main classes, each represented by a three-digit number. Every class number has a minimum of three digits, and a dot is placed after the third digit when the number grows longer. The ten main classes are 000 Generalities, 100 Philosophy and Psychology, 200 Religion, 300 Social sciences, 400 Languages, 500 Pure sciences, 600 Applied sciences and Technology, 700 The arts, 800 Literature, and 900 Geography and History.

These ten classes form the first summary. Each class then splits into ten divisions, creating a hundred divisions in the second summary. Each division splits again into ten sections, giving a thousand sections in the third summary. The DDC presents this structure through these three summaries, which work like a zoom lens that moves you from broad subject areas down to precise topics.

Two more tools complete the picture. The schedules are the detailed lists of numbers and their meanings, while the Relative Index is an alphabetical list of subjects pointing to their numbers. The official guidance reminds classifiers that the Relative Index is not exhaustive, so the schedules and tables should always be consulted before a number is finalised.

Determining the subject

The first and most important step in classification is deciding what the document is actually about. A number can only be correct if the subject behind it is correct. This stage requires you to look beyond the cover and examine the content carefully.

Where to look for clues

Several parts of a document reveal its subject. Begin with the title and subtitle, but treat them with caution, because titles can be metaphorical or misleading. A book called “Silent Spring,” for example, is about environmental science, not the season. Next, study the table of contents, which gives a more reliable breakdown of the topics covered. The official DDC introduction notes that the preface or introduction usually states the author’s purpose, and a foreword often indicates the subject and the work’s place in the development of thought on that topic. The book jacket and any accompanying material can add further hints.

Handling complex subjects

Many documents do not deal with a single neat topic. A title like “Economic Development in Rural India since 1991” mixes a discipline, a place, and a time period. To untangle such cases, classifiers often use facet analysis, breaking the subject into fundamental categories. S.R. Ranganathan’s PMEST formula, which separates Personality, Matter, Energy, Space, and Time, is a familiar Indian framework for this kind of breakdown. Once you have isolated the components, you can decide which one represents the dominant subject the document is really about.

DDC also offers rules for tricky relationships between subjects. Interdisciplinary works are usually placed with the discipline that receives the most emphasis. A work about the influence of one subject on another is generally classed with the subject that is influenced. These conventions keep decisions consistent across different classifiers.

Choosing the right notation

Once you know the subject, the next step is translating it into the language of DDC, which is numbers. Notation is the system of symbols used to represent the classes, and in DDC it is expressed in Arabic numerals that show both the meaning of a class and its relationship to others.

Moving from broad to specific

Start by identifying the main class, then narrow down through the divisions and sections. Suppose you are classifying a book on human anatomy. You would first recognise that medicine and applied sciences fall under 600. Scanning the summaries, you reach 610 for medical sciences, and then 611 for anatomy. At each level, the number becomes more precise. This is the principle of notational hierarchy, where a longer notation is subordinate to a class whose notation is one digit shorter. The longer the number, the deeper and more specific the subject.

Building numbers and using tables

The schedules do not list every possible number, so DDC allows you to construct, or synthesise, numbers for more specific subjects. To do this, classifiers draw on seven auxiliary tables that hold notation for recurring concepts such as standard subdivisions, geographic areas, and languages. For instance, Table 1 provides standard subdivisions, written from -01 through -09, that represent common aspects like history, research methods, or educational treatment of a topic. Table 2 supplies numbers for places, so a book on the history of a particular Indian region can be built by adding the relevant geographic notation to a base number.

Checking your number

Before finalising a number, weigh a few practical factors. The notation should be as specific as the document warrants, but not so long that it becomes awkward for shelving. It should be consistent with how similar materials in your collection are already classified, and it should match how your users are likely to search. While reading the schedules you will also meet instructions such as “class here” and “class elsewhere” notes, which guide correct placement and should always be followed to stay aligned with the system.

Challenges in classification

Even experienced classifiers run into difficulties. Knowing the common problems in advance makes them far easier to handle.

Misleading titles and hidden subjects

A creative or vague title can send you toward the wrong class. The remedy is simple but disciplined: never rely on the title alone. Read the contents, preface, and introduction so your subject decision rests on the actual content rather than a catchy phrase.

Subjects that fit in more than one place

Some topics could reasonably sit under several numbers. A work on child psychology, for example, might belong under psychology or under social sciences. The Relative Index helps overcome the challenge of knowing where a subject fits by guiding you to all the relevant numbers, after which you confirm the best choice in the schedules. The schedules and Relative Index are designed to be used together rather than separately.

Finding the right starting point for number building

When you need to construct a number, locating the correct base can be confusing for beginners. Work through the hierarchy patiently, use the Relative Index to find candidate numbers, and follow the add instructions exactly as written. Rushing this stage is the most common source of errors. A useful memory aid that many catalogers use is the mnemonic “Can People Read Our Magic Books In Library Study Halls,” which helps recall the order of the ten main classes.

Keeping decisions consistent

In a busy library, different staff members may classify similar books slightly differently over time. To reduce this, many libraries lean on shared resources. Cataloguing-in-publication data printed in the book often provides a preliminary number, and bibliographic databases let you check how other libraries classified the same title. Following the official rules and notes keeps the whole collection coherent, which in turn supports resource sharing and union catalogues.

Bringing the steps together

Classifying a document with DDC follows a logical chain. You determine the subject by examining the document closely, you locate the broad area using the three summaries, you refine the number through the schedules, and you build or extend it with the tables when needed. Each step depends on the one before it, so careful work early on prevents mistakes later. With practice, this process becomes second nature, and you will be able to give any book a precise home on the shelf where readers can reliably find it.
