When you set out to collect data for a research project, the questionnaire is one of the most reliable tools at your disposal. But choosing to use a questionnaire is only half the decision. The way you deliver it to your respondents shapes your costs, your reach, the quality of your answers, and crucially, how many people actually respond. A questionnaire mailed to a thousand homes behaves very differently from the same set of questions handed out in a classroom or read aloud across a desk. This post breaks down three common methods of administering questionnaires, namely mailed, group administered, and personal contact, so you can match the method to your research goals.

Why the method of administration matters

A questionnaire is simply a set of written questions arranged in a logical order to gather information from respondents. These answers become the primary data for your investigation. Survey research is often divided into two broad families: questionnaire surveys, where respondents write their own answers, and interview surveys, where an interviewer records verbal responses. Within these families, each method of delivery carries its own strengths and weaknesses in terms of cost, coverage of the target population, and flexibility in asking questions.

There is no single best method. A study covering respondents spread across several states has different needs from one focused on a single college or office. Understanding the trade-offs is what lets you design a study that is both practical and scientifically sound.

Mailed questionnaires

The mailed questionnaire is what most people picture when they think of a survey. The researcher prints the same set of questions and sends them by post to a list of respondents, usually including a pre-paid return envelope. The respondent fills in the answers in their own time and mails the form back. It is a self-administered method, meaning no interviewer is present during the process.

Advantages of mailed questionnaires

The biggest draw of this method is cost. Mailed surveys are inexpensive to administer because bulk postage is cheap in most countries, and you can send the identical instrument to a large number of people at once. This makes the method especially attractive when your respondents are scattered across a wide geographical area. A study covering rural and urban districts in several states can be run from a single office without anyone travelling.

There are other quieter benefits. The respondent answers at their own convenience, without an interviewer hovering over them, which can encourage more honest answers on private or sensitive matters. Because the questions are standardised and self-administered, mailed questionnaires are also not affected by interviewer bias or variability. The respondent reads the same words everyone else reads.

Drawbacks of mailed questionnaires

The well-known weakness of this method is the low response rate. Response rates from mail surveys tend to be quite low because most people simply ignore survey requests. A questionnaire that lands in the post is easy to set aside and forget, and a low return can make your sample unrepresentative of the population you wanted to study.

There are further limitations. You can never be fully sure that the intended person, rather than a family member, actually filled in the form. Mailed questionnaires also depend on respondents being literate and able to read the language used, which is a real constraint in a country with wide variation in literacy and many languages. They are inflexible too: if a respondent finds a question confusing, there is no opportunity to probe or clarify, and they are poor vehicles for detailed open-ended answers.

To counter low returns, researchers often use follow-up reminders and design short, clear questionnaires. Despite the challenges, the affordability and wide reach keep this method in regular use, particularly when budgets are tight and the population is dispersed.

Group administered questionnaires

In the group administered method, a sample of respondents is brought together at a common place and time, and each person completes the questionnaire while in that room. Each respondent fills in their own form independently, without discussing answers with the others. The setting might be a classroom, a training hall, or a conference room.

This is different from a group interview or focus group. In a focus group, the interviewer facilitates a discussion and the group interacts. In the group administered questionnaire, each respondent is handed an instrument and asked to complete it individually while in the room.

Advantages of the group administered method

The standout benefit is a high response rate. Because the respondents are already gathered and present, a high response rate is assured in a way that mailing never guarantees. People in the room are far more likely to complete a form in front of them than to return one by post.

The second advantage addresses the great weakness of mailed surveys. If a respondent does not understand a particular question, the researcher is right there and the respondent can ask for clarification on the spot. This reduces misunderstanding and improves data quality. The method is also convenient and economical for the researcher, since collecting many completed forms in one sitting saves both time and travel.

This approach works best where a group can naturally be assembled. Colleges are a classic example, where surveys are often administered in large classes. Within organisations, it is relatively easy to assemble a group of employees in a conference room or canteen, especially when management has approved the study.

Limitations to keep in mind

The catch is obvious. This method only works when respondents can actually be brought together in one place. If your target population is spread across many locations or cannot easily be assembled, the group method is impractical. There is also a subtle risk that the group setting itself, with peers and supervisors nearby, may shape how people answer, particularly on sensitive questions.

Personal contact questionnaires

Personal contact questionnaires, often described as face-to-face surveys, involve a researcher or trained interviewer meeting the respondent one-on-one to administer the questionnaire. The interviewer travels to the respondent, reads out a standardised set of questions, and records the answers. Importantly, this still follows a fixed script, which separates it from a free-flowing conversational interview.

Why researchers value face-to-face contact

The defining strength of this method is the presence of the interviewer. By far the main advantage is that this presence makes it easier for the respondent to clarify their answers or ask for clarification on confusing items. If a question is ambiguous, the interviewer can explain it immediately, and if an answer is unclear, the interviewer can ask the respondent to expand. This two-way clarification is something neither mailed nor group methods can fully match.

Face-to-face surveys also achieve the highest response rates of any method, because respondents find it harder to turn away a person at the door than to bin a mailed form. The direct human contact increases cooperation and motivation. The interviewer can probe for more detail, observe the respondent’s surroundings, and pick up on hesitation or confusion. This method also does not require respondents to be literate, an important advantage when surveying populations with limited reading ability or in rural settings with little internet access.

The cost of quality

All of this comes at a price. Personal contact questionnaires are expensive and time consuming, since trained interviewers must travel to each respondent. Poorly trained interviewers can introduce interviewer bias, which can seriously distort the data. Respondents may also have privacy concerns and be less willing to answer honestly on sensitive questions when speaking to someone in person. So while the data quality is rich, the method is best reserved for studies where depth matters more than scale.

Choosing the right method for your survey

Each method answers a different research need. If you have a limited budget and respondents spread over a wide area, mailed questionnaires offer reach at low cost, as long as you can tolerate a lower response rate. If you can gather respondents in one place, such as a college or workplace, the group administered method gives you high response rates and the chance to clarify questions on the spot. If your priority is rich, high-quality answers and you can afford the time and expense, personal contact questionnaires deliver the deepest insights and the strongest response rates.

In practice, many researchers mix methods to balance these trade-offs. The right choice always comes back to your research objectives, your budget, your timeline, and the nature of the population you are trying to study.
