The case study method is one of the oldest and most trusted tools in social research, yet it remains widely misunderstood. Many students assume it simply means writing a long story about one person or one organisation. In reality, it is a disciplined way of studying a single social unit in great depth to understand the forces shaping its behaviour. Knowing exactly what this method can do, where it shines, and where it stumbles will help you decide whether it suits your own research question.

What the case study method actually does

A case study is an intensive, comprehensive examination of a single social unit, which could be a person, a family, a group, an institution, an event, or even a community. Instead of measuring a few variables across thousands of people, the researcher studies every relevant facet of one unit as an integrated whole. The approach is mostly qualitative rather than quantitative, because the aim is meaning and understanding rather than statistical averages. As research methods scholars explain, the method values depth of understanding over breadth of coverage, tracing the natural history of a social unit and its relationship with the surrounding social forces.

Robert K. Yin, one of the most influential writers on the subject, frames the case study as the study of a phenomenon within its real-life context, especially useful for answering “how” and “why” questions about situations the researcher cannot control. This contextual focus is what separates it from laboratory experiments and large surveys.

Uses of the case study method

The method earns its place in research because it produces detailed information and deeper insight into social phenomena that thinner methods cannot reach. Its uses fall into a few clear categories.

Studying complex phenomena in their natural setting

Many social situations are simply too tangled to be captured by a controlled experiment or a structured questionnaire. The case study lets a researcher observe how multiple factors interact in their real environment. A study of a village library, for example, can reveal how local politics, caste dynamics, economic conditions, and digital infrastructure together shape who actually uses information resources. An in-depth review of qualitative case study research stresses that good case work involves careful attention to the historical background, physical setting, and institutional and political context of the case.

Generating hypotheses for further research

Case studies are especially valuable in exploratory research, where the important variables are not yet known. By examining a phenomenon without forcing it into predetermined categories, the researcher can discover relationships nobody anticipated. Psychology research literature notes that case studies often generate fresh ideas that can later be tested through surveys or experiments on larger samples. In this sense the method works as an excellent precursor to wider studies rather than a dead end.

Tracing the development of a unit over time

Unlike a survey that captures a single snapshot, a case study can follow a unit across months or years. This makes it well suited for studying processes that unfold gradually, such as how a community’s reading habits change after a new public library opens, or how a child’s language develops. The method also helps a researcher construct better questionnaires and interview schedules for later, larger investigations, because the early case work shows which questions actually matter.

Advantages of the case study method

The strengths of the case study flow directly from its deep, diagnostic character. It does not skim the surface; it digs in.

Depth and diagnostic power

The clearest advantage is the sheer richness of the data. Because the researcher studies one unit minutely, the findings carry a level of detail and nuance that large-scale surveys cannot match. The approach is often compared to a doctor recording a patient’s full case history before diagnosis, examining background, symptoms, and circumstances together before reaching a conclusion. This diagnostic depth allows the researcher to understand not just what is happening but why, uncovering the underlying mechanisms behind a behaviour or outcome.

Vivid, real data about a living social unit

Case studies produce concrete, lifelike data drawn from real experiences rather than abstract numbers. This vividness makes the findings persuasive and easy to relate to, and it preserves the holistic and meaningful characteristics of real events. Such data can powerfully illustrate a theory, support an existing argument, or even challenge established assumptions when a single well-studied case contradicts what the textbooks predicted.

Flexibility in data collection

The method is methodologically agnostic, meaning it does not lock the researcher into a single technique. One investigation can combine in-depth interviews, direct observation, document analysis, and even quantitative data where useful. An overview from research reference material highlights that this multi-source approach, often supported by observations, interviews, and documents, builds a rich and rounded narrative of the unit being studied. This flexibility lets the researcher follow the evidence wherever it leads instead of being boxed in by a fixed instrument.

Disadvantages and limitations of the case study method

For all its strengths, the case study carries serious limitations. A researcher who ignores them risks producing work that looks rich but proves little.

Inefficiency in structured situations

The case study is not the right tool for every job. When a research question is well defined and the variables are already known, a structured survey or experiment is faster, cheaper, and more precise. Case work is resource-heavy by nature. As methodological discussions repeatedly note, case studies are time-consuming and expensive, sometimes demanding a sustained commitment that runs into months or years. Using such a costly method for a question that a simple structured survey could answer is wasteful, and the method cannot be applied effectively to very large or complex societies.

Recall bias and dependence on memory

Because case studies lean heavily on interviews and personal accounts, they inherit a problem common to all self-reported data: people misremember. Research on recall bias shows that the way subjects remember and report past events can be distorted, particularly when those events are emotionally charged or distant in time. A respondent reconstructing how a programme affected them years ago may unknowingly reshape the story, and the researcher has little way to verify it independently.

Overemphasis on unusual or undesirable traits

Cases are often selected precisely because they are striking, dramatic, or problematic. This selection habit can tilt a study toward the abnormal or the negative, giving disproportionate attention to undesirable traits while ordinary, healthy functioning is overlooked. The danger is that the vivid detail of an exceptional case gets mistaken for a general pattern, when in fact the case was chosen because it was anything but typical.

Subjectivity and researcher bias

Perhaps the deepest criticism is that case study findings rest heavily on the researcher’s own interpretation. What gets recorded, what gets emphasised, and what gets ignored all depend on the observer’s judgement, and that judgement can be coloured by personal expectations. There is a further twist: the closer the rapport between researcher and subject, the more the subject may simply say what they believe the investigator wants to hear, making the data more subjective rather than less. Reference material on case methodology warns that subjectivity makes it easy to see what one expects to see, so a chosen case may not be representative at all.

The problem of generalisation

The most persistent objection is that conclusions drawn from one or a few cases cannot be safely applied to a wider population. Analysis of single case study research distinguishes between statistical generalisation, which case studies handle poorly, and analytical generalisation toward theory, where they remain useful. The honest position is that theory confirmation is not the case study’s strong suit. Because no fixed sampling rules are followed and only a few units are examined, the risk of false generalisation is always present, and the unique conditions of one study make exact replication very difficult.

Striking the right balance

None of these limitations make the case study a weak method; they simply define where it belongs. It is best used when you need a deep, contextual understanding of a complex unit, when you are exploring new territory, or when you want to build hypotheses for later testing. Researchers reduce its weaknesses through triangulation, drawing on several independent sources to cross-check findings, and through multiple-case designs that compare several instances of the same phenomenon. Used with that discipline, the method delivers insight that no questionnaire ever could, while keeping its inherent biases in check.
