When a librarian wants to know which databases students actually use, or a researcher wants to map the reading habits of an entire campus, they are not testing a cause-and-effect theory. They simply want an accurate picture of what is happening right now. This is exactly what descriptive research is built for. It is one of the most widely used research methods in Library and Information Science, and understanding it well is the first step toward conducting studies that genuinely improve services.

What is descriptive research?

Descriptive research is a method that describes the characteristics of a population or phenomenon being studied. Its core purpose is to answer the “what” question rather than the “why”. It tells you what the current situation looks like, who is involved, and what patterns exist, without trying to explain the underlying causes.

A simple way to understand it is by comparing it with experimental research. In an experiment, the researcher deliberately changes one variable to see its effect on another. In descriptive research, the researcher observes and measures without manipulating any variables. The goal is to record reality as it is, not to alter it. Because of this, descriptive studies cannot establish causality. They can identify characteristics, trends, and correlations, but they stop short of explaining why those patterns occur.

This focus on accurate observation makes descriptive research a foundational tool. The data it produces often becomes the starting point for deeper investigations. Once you know what is happening, you can design further studies to explore why it is happening.

Key characteristics of descriptive research

A few defining features set descriptive research apart from other approaches:

No manipulation of variables: The researcher does not interfere with the subjects or the environment. Conditions are studied as they naturally exist.

Focus on the present: Descriptive research aims to capture the current status of a situation. It surveys what exists at a given moment or over a defined period.

Both quantitative and qualitative data: The method can use numbers, such as the number of library visits per month, as well as descriptive narratives, such as users’ comments about a service. Types of descriptive research designs

A cross-sectional study is conducted at a single point in time. It offers a snapshot of a population as it exists at that moment. Surveys can also be completed without a researcher present, which reduces certain kinds of interviewer bias. A typical survey question might use a rating scale, asking respondents how satisfied they are with a service on a scale of one to five. The responses then translate neatly into descriptive statistics like averages and frequency distributions.

Interviews

Interviews allow the researcher to collect richer, more detailed information than a survey usually permits. Through direct conversation, the researcher can probe responses, ask follow-up questions, and understand the reasoning behind an answer. Interviews can be highly structured, following a fixed list of questions, or semi-structured, allowing the discussion to flow more naturally.

This method works well when the subject matter is complex or personal. In a library context, interviews can explore users’ experiences with a service or capture staff perspectives on a new management system, surfacing concerns that a tick-box survey would miss.

Observational studies

In observational studies, the researcher gathers data by directly watching subjects in their natural environment, recording what happens without interfering. Observation is particularly valuable for understanding behaviour that people cannot easily describe themselves. Users may not be able to articulate how they navigate a library catalogue, but a researcher watching them can document exactly where they hesitate or get stuck.

Observation can be quantitative, such as counting how many people use a particular section each hour, or qualitative, such as noting how users move through a space. Because it records actual behaviour rather than reported behaviour, observation often reveals gaps between what people say they do and what they actually do.

Case studies

A case study is an in-depth examination of a single subject, such as a person, group, event, or organisation. Rather than collecting a large volume of data to find broad patterns, a case study gathers detailed data about a narrowly defined subject. This makes it ideal for documenting something unusual or instructive, like how one library successfully implemented a new digital lending service.

Applications in Library and Information Science

Descriptive research has a special place in Library and Information Science. A review of research methods in the field found that descriptive methodologies based on surveys and questionnaires predominate, with data analysis usually limited to descriptive statistics such as frequencies and means. Information seeking, information retrieval, and library service activities are among the most studied subjects. This makes descriptive research arguably the workhorse method of the discipline.

Understanding library users

The most prominent application is the user study. A user study is a research method designed to understand how library users interact with services, resources, and facilities. The aim is to understand user needs, preferences, and behaviours so libraries can improve the user experience.

Consider a practical example. By surveying students about their satisfaction with the library’s e-resources, a library may discover that users want more online databases or find a particular platform difficult to navigate. The same study might reveal which resources, whether books, journals, or digital media, are most heavily used. Armed with this data, the library can confidently expand its most valuable collections rather than guessing.

Studying information behaviour and service use

Descriptive research also helps document reading habits and service utilisation patterns. A researcher might conduct a descriptive study to record the reading habits of undergraduate students, focusing on what types of materials they access, when they visit, and how they use various services. Service utilisation studies examine usage patterns across different offerings, revealing which services thrive and which are underused.

Observation adds another dimension. By watching how users interact with physical books, online catalogues, or digital archives, researchers can identify usability problems. Studying the physical layout of a library can show how design choices affect user behaviour and accessibility, informing decisions about where to place help desks, signage, or study areas.

Guiding decisions with evidence

The real value of descriptive research lies in evidence-based decision-making. When a library wants to evaluate whether its reference services meet the needs of students, faculty, and researchers, it can gather feedback systematically rather than relying on assumptions. Descriptive statistics from a user survey can also provide important context that supports more complex analysis later.

This is how descriptive research closes the loop. It moves a library from operating on intuition to operating on data. Whether the goal is assessing usage patterns, measuring user satisfaction, or evaluating service effectiveness, descriptive research supplies the insights needed to allocate resources wisely and shape future services.

Strengths and limitations to keep in mind

Descriptive research is popular for good reasons. It is flexible, can handle large populations, and produces results that are easy to communicate to administrators and stakeholders. It is also relatively economical compared with experimental designs.

However, it has clear boundaries. Because it does not manipulate variables, it cannot establish cause-and-effect relationships. A descriptive study can tell you that database usage dropped last year, but it cannot tell you why on its own. Surveys also carry the risk of inaccurate self-reporting, since there is often no way to verify what respondents claim. A well-designed study acknowledges these limits and treats descriptive findings as a foundation for further inquiry rather than a final answer.
