When a researcher walks up to a reference desk and says, “I need information on climate change and agriculture,” the request sounds simple. But behind that one sentence lies a tangle of unstated needs, vague terms, and hidden assumptions. This is where the database intermediary steps in. An intermediary is the trained information professional who stands between the user and a complex electronic database, translating a fuzzy human question into a precise machine query. The work is not random. It follows a logical sequence of stages, each building on the last, designed to turn confusion into a satisfying set of results. Understanding these stages is essential for anyone preparing to work in modern library and information services.

Why the search process needs distinct stages
Searching a scholarly database is very different from typing a phrase into a web search engine. Commercial databases like Scopus, Web of Science, or those hosted on platforms such as EBSCO and ProQuest do not understand everyday conversational language. As university library guides repeatedly point out, databases require a special set of conventions to interpret what a user actually wants. A careless query can return thousands of irrelevant records or, worse, miss the few crucial papers the user truly needed.
Breaking the search into stages reduces this risk. Each stage has a clear purpose: understanding the need, gathering the right tools, building the logic, and delivering the answer. Skipping a stage usually shows up later as wasted time, frustrated users, and poor results. The intermediary’s discipline in following the sequence is what separates a professional search from guesswork.
Stage one: Pre-search counseling
The first task is not to touch the keyboard at all. It is to talk to the user. This conversation is known as pre-search counseling, and it grows directly out of the classic reference interview. The goal is to understand the query thoroughly: the purpose for which information is needed, the background of the user, what they have already found, and the type and amount of information required.
This stage matters because users rarely state their real need at first. A scholar in information science calls this the gap between a person’s actual information need and the words they use to express it. The intermediary’s job is to close that gap through careful questioning.
Asking the right questions
Good pre-search counseling relies on open and closed questions used at the right moments. Open questions such as “Can you tell me more about your project?” let the user reveal context. Closed questions such as “Do you need material only from the last five years?” pin down specifics. The intermediary clarifies several key points during this conversation: the exact subject and its scope, the time period of interest, the languages acceptable, the document types wanted, and the depth required. A doctoral student needs an exhaustive search, while an undergraduate may need only a handful of recent reviews.
Recording the request
In practice, this counseling is often documented on a search request form. Research on intermediary searching in medical libraries shows that a structured request form helps elicit more information that can later feed directly into the search strategy. The form captures the topic, key concepts, known authors or articles, and any limits. This written record keeps both parties aligned and prevents misunderstandings before any database is opened.
Stage two: Preparing for the search
Once the need is clear, the intermediary moves to preparation. Two decisions dominate this stage: which databases to search and which terms to use.
Selecting the right databases
No single database covers everything. A query about agricultural economics may need a different source than one about clinical medicine. The intermediary matches the subject to appropriate resources. For a science topic this might mean Scopus or Web of Science; for medicine, PubMed; for education, ERIC; and for Indian scholarship, platforms such as those maintained through national consortia. Selecting the wrong database guarantees poor results no matter how clever the strategy. Guidance on systematic searching stresses that selecting databases and other sources to search is one of the first concrete tasks an information specialist performs.
Finalizing the search terms
The intermediary then breaks the query into its core concepts. For a topic like “the effect of social media on the mental health of teenagers,” the main concepts are social media, mental health, and teenagers. For each concept, the intermediary lists synonyms and related terms. As library guides on developing a strategy explain, concepts can be expressed in many ways, so the aim is to consider each concept and list the different ways it could be expressed. Social media might also appear as “Facebook,” “Instagram,” or “online networks.” Mental health might appear as “depression,” “anxiety,” or “wellbeing.” A thesaurus, the database’s own subject headings, and scanning a few relevant articles all help build this term list.
Stage three: Search strategy formulation
With concepts and terms ready, the intermediary builds the actual search strategy. This is the heart of the process, where human logic is converted into the language the database understands. The most important tool here is Boolean logic.
Using Boolean operators
Boolean operators link search terms to either narrow or broaden the results. There are three basic operators, and university libraries describe them consistently. The operator AND narrows a search by requiring all terms to appear, so “social media AND depression” returns only records mentioning both. The operator OR broadens a search by accepting any of the terms, so “teenagers OR adolescents” captures both words. The operator NOT excludes a term, removing unwanted records. As one university guide puts it, these operators link search terms to narrow or broaden the set of results.
The standard pattern is to connect synonyms within a concept using OR, then connect the different concepts using AND. So a strategy might read: (social media OR Instagram OR Facebook) AND (depression OR anxiety OR wellbeing) AND (teenagers OR adolescents). This structure captures every variation of each idea while still demanding that all three ideas appear together.
Truncation, wildcards, and phrase searching
Beyond the basic operators, intermediaries use refinements. Truncation uses a symbol, usually an asterisk, attached to the root of a word to capture all its endings. Searching “adolescen*” retrieves adolescent, adolescents, and adolescence at once. A university guide notes that searching on the root of a word and whatever follows saves the trouble of typing every form. Wildcards handle internal spelling variations, useful for British and American spellings. Phrase searching, done by placing words inside quotation marks, forces the database to treat the words as a single unit, so “mental health” is searched as a phrase rather than two separate words.
Nesting and field searching
When operators are combined, nesting with parentheses controls the order in which the database processes them, just like in mathematics. This prevents the logic from collapsing into nonsense. The intermediary may also restrict terms to specific fields, such as the title, abstract, or author field, to sharpen precision. Stage four: Conducting and concluding the search
With the strategy built, the intermediary executes the search in the chosen database. But running the query is only the beginning of this final stage.
Reviewing and refining the results
The first set of results is rarely perfect. If too many records appear, the search is too broad and needs narrowing through additional AND terms or tighter limits on date and document type. If too few appear, the search is too narrow and needs broadening through more OR synonyms or truncation. This back-and-forth is normal. The search process is iterative, and the strategy is adjusted until the balance between recall, meaning how many relevant items are found, and precision, meaning how few irrelevant items appear, suits the user’s need.
Presenting information to the user
Once the results are satisfactory, the intermediary saves, collates, and formats them for the user. This may mean exporting citations to a reference manager, printing abstracts, or compiling a tidy list. The presentation should match what the user agreed to during pre-search counseling.
Closing the loop and ensuring satisfaction
The search is not truly complete until the user confirms the results meet the original need. This is where the process comes full circle. The intermediary follows up to ensure the patron is satisfied with the experience and remains open to renegotiating the query if the results have revealed something new. Often the act of seeing results helps a user realise their need was slightly different from what they first stated. A good intermediary treats this not as failure but as a natural part of refining the answer.
How the stages connect
The four stages form a continuous chain rather than isolated steps. The clarity gained in pre-search counseling feeds the database and term choices in preparation. Those terms become the building blocks of the Boolean strategy. The strategy produces results that are then reviewed, refined, and confirmed against the very need identified at the start. A weak conversation at the beginning weakens every stage that follows, while a thorough one makes the later work far easier. This is why experienced intermediaries invest so heavily in the early stages, where the keyboard stays untouched and the conversation does the work.
