When you sit down to search a scholarly database for a research project, the process can feel deceptively simple: type a few words, hit enter, get results. But behind the scenes of effective information retrieval, there is often a skilled professional whose entire job is to bridge the gap between what you want to know and what the database can actually deliver. This professional is the database intermediary-usually a librarian or information specialist who connects users with the right information through a set of well-defined functions. Understanding what these intermediaries actually do reveals just how much expertise goes into a successful search, and why the role remains relevant even in an age of instant online access.

Who is a database intermediary?

A database intermediary is a trained information professional who stands between the end user and one or more databases, helping translate a person’s information need into a successful retrieval. The concept is rooted in classic information retrieval theory. As researchers studying interaction between users and intermediaries have noted, the conversation that happens between a human agent and a searcher serves the purpose of building a clear model of what the user actually wants.

This matters because users rarely arrive with a perfectly formed query. They may know the broad topic but not the precise terms a database uses. The intermediary’s value lies in closing that gap through a combination of subject knowledge, technical skill, and communication ability. Their work can be grouped into four core functions: selecting the right database, executing the search, managing the database systems, and supporting the user throughout. Let us look at each in detail.

Database selection

The first and arguably most strategic function is choosing the correct database for a given query. With thousands of databases available-each specialising in different subjects, formats, and coverage periods-picking the wrong one wastes time and produces poor results. An intermediary evaluates the user’s topic and matches it to the most suitable resource.

Why selection requires expertise

Consider a medical researcher looking for clinical trial data versus a management student researching market trends. The first may need a database focused on biomedical literature, while the second needs one covering business and economics. A generalist database might return some hits for both, but a specialised one delivers far more relevant and complete coverage. The intermediary knows the strengths, subject scope, and limitations of each option.

Selection also involves practical considerations: Does the database cover the right time period? Is the full text available or only abstracts? Is it accessible through the institution’s subscription? Research into systems that select databases using retrieval terms shows that matching a query to the right source involves estimating the subject field and evaluating which databases are most likely to hold relevant records. A human intermediary performs this same evaluation, but with the added benefit of contextual judgement.

Multi-database strategies

Sometimes a single database is not enough. For a comprehensive literature review, an intermediary may direct a search across several databases, then combine and deduplicate the results. This requires knowing which sources overlap and which offer unique coverage, so that the final result set is both broad and free of unnecessary repetition.

Search execution

Once the right database is chosen, the intermediary translates the user’s request into a well-formulated query the system can understand. This is where technical skill becomes essential, because most academic databases do not interpret everyday language the way a web search engine does.

Translating language into database logic

Library databases require a structured approach to searching. Monitoring and managing database systems

The intermediary’s role is not limited to the moment of searching. They also help keep the underlying database systems running reliably, which is what makes successful retrieval possible in the first place. This function is more technical and operational, but it directly affects every user who depends on the system.

Performance and access

Databases must respond quickly and remain available. A database management system serves as the intermediary between the user and the stored data, handling how information is entered, stored, organised, and retrieved. Information professionals monitor this performance, watching for slow response times, failed queries, or access problems, and they coordinate with technical staff to resolve issues before they disrupt research.

Backup and security

Two responsibilities deserve special attention here. The first is backup management-ensuring that data is regularly copied and recoverable so that a technical failure does not destroy valuable records. The second is security, which involves controlling who can access what. Many systems include restrictions that limit access to particular data, and maintaining these protocols protects both the integrity of the database and the privacy of users. An intermediary who manages these safeguards ensures the system stays trustworthy over the long term.

User support

The final function is perhaps the most human: supporting the user before, during, and after the search. This is where the intermediary’s communication skills matter as much as their technical ability.

The reference interview

Support begins with understanding the real question, and the classic tool for this is the reference interview. The intermediary’s task is to surface the genuine need beneath the stated one.

Interpreting results and follow-up

After the search runs, the intermediary helps the user make sense of the output. This includes explaining why certain results appeared, helping evaluate which sources are authoritative, and suggesting follow-up strategies if the first attempt did not satisfy the need. In specialised settings, this collaboration is explicit. Research on the pre-search reference interview describes how a search works best when requester and intermediary work in tandem, with the user supplying subject knowledge and relevance feedback while the intermediary applies skills in search logic and result refinement. The goal is to maximise the usefulness of results and make the whole interaction as efficient as possible.

Effective communication ties all of this together. Whether the interaction happens in person, by phone, or electronically, the intermediary ensures the user understands both the process and the outcome, and feels equipped to search more confidently in future. This teaching dimension-helping users learn to frame questions and assess results-has become an increasingly important part of the role as more information becomes available directly to end users.

How the four functions work together

These functions are not isolated tasks but stages of a single, connected process. Selection determines where to look, execution determines how to look, system management ensures the tools work reliably, and user support ensures the human at the centre actually benefits. A weakness in any one stage undermines the others: a brilliant search strategy fails on the wrong database, and a perfect database is useless if the system is down or the user cannot interpret what they find.

This is why the database intermediary remains valuable. Even as self-service searching grows, the combination of judgement, technical skill, system oversight, and human communication is difficult to replace. The intermediary turns a pile of stored data into answers that genuinely meet a person’s need.
