Walk into any well-run library and you will notice that books appear exactly where you expect them, the catalogue points you to the right shelf, and a knowledgeable person at the desk can answer almost any query. None of this happens by accident. Behind every functioning library is a team of trained professionals who acquire, process, organize, and maintain documents so that information stays accessible. These professionals are the engine of the library system, and understanding who they are and what they do reveals how libraries actually work.

Who are library professionals?

Library professionals are trained personnel responsible for managing information resources and delivering services to users. Their work covers a wide chain of activities: selecting and acquiring documents, classifying and cataloguing them, indexing and abstracting their content, and finally helping users find what they need. According to the University Grants Commission Library Committee, librarians fall under the category of “Professional Staff” and are accorded status and salary at par with university teaching staff, which is why they are required to hold similar qualifications.

What separates a professional from other library workers is formal education in Library and Information Science (LIS) and the ability to make decisions that require subject expertise and judgement. A professional decides how a document should be classified, what subject headings describe it best, and how a collection should grow. These are intellectual tasks, not routine clerical ones.

The main categories of library staff

Libraries do not run on professionals alone. Staff are usually grouped into broad categories based on qualifications and responsibilities. Recognizing these tiers helps clarify where the specialists sit within the larger structure.

Professional staff

This group holds formal LIS qualifications, typically a Bachelor’s or Master’s degree in the field. Professional staff handle management, classification, cataloguing, reference services, collection development, and user education. The UGC defines professional staff as those who possess qualifications in library and information science or related fields and who are responsible for the planning, development, and management of library and information services. The librarian and deputy or assistant librarians belong here.

Para-professional or technical staff

These staff support professional work and usually hold a diploma or certificate in library studies. Library assistants and technicians assist with cataloguing, circulation, shelving, and basic reference tasks, often under the supervision of a professional. They are essential for day-to-day operations but generally do not take the intellectual decisions reserved for professionals.

Non-professional and support staff

This category includes clerical staff, data-entry operators, shelvers, and maintenance personnel. Their qualifications are determined by the institution, and their duties are administrative or routine in nature, such as record keeping, correspondence, and keeping the premises in order. Public libraries in India, including State Central, District, and town libraries, commonly organize their workforce into managerial, professional, support, and administrative tiers.

Key roles within the professional category

The professional category itself contains several specialized roles. While a small library may have one person doing everything, larger academic and special libraries divide these functions among dedicated specialists. Each role demands a distinct skill set.

Librarian and administrator

The librarian sits at the top of the structure and is responsible for the overall planning, organization, and management of the library. In a university, the librarian oversees acquisition of resources, cataloguing, circulation, access to digital resources, budgets, and staff. To become a University Librarian in India, candidates must meet qualifications specified by the UGC, which typically include a Master’s degree in Library Science with the required percentage of marks, along with relevant experience and, in many cases, a Ph.D. The librarian is both a manager and an academic leader.

Cataloguer

The cataloguer prepares bibliographic records, the catalogue entries that represent each item in the collection. A cataloguer studies a document and creates a record that describes it accurately, including author, title, publication details, subject, and physical description. This work follows standardized rules such as AACR2 or the newer Resource Description and Access (RDA), and it ensures consistency across the entire catalogue. Without accurate cataloguing, users cannot locate materials on the shelf or online. Cataloguers increasingly need a good understanding of metadata standards and thesauri as catalogues move to digital platforms. Cataloguing work itself splits into original cataloguing, where a record is built from scratch for a new item, and copy cataloguing, where an existing record is adapted.

Classifier and classificationist

Classification and cataloguing go hand in hand, but they are distinct jobs. The classifier analyzes the subject of a document and assigns it a class number from a classification scheme. This number determines where a book physically sits on the shelf and groups similar materials together, making browsing intuitive. In India, libraries commonly use the Colon Classification system developed by S.R. Ranganathan, alongside the Dewey Decimal Classification.

A related but higher-level role is the classificationist, the specialist who designs and builds classification schemes rather than simply applying them. The distinction matters: the classifier uses the tool, while the classificationist creates and refines the tool itself. Ranganathan, who chaired the UGC committee that shaped library staffing patterns in India, is the most famous example of a classificationist.

Indexer

The indexer compiles indexes by analyzing the content of documents and assigning access points such as keywords, descriptors, or subject terms. An index acts as a guide that points users to the location of specific information within or across documents. As one widely cited principle in the field puts it, if information is not indexed, it effectively does not exist for the person searching. Indexers rely on controlled vocabularies, also called indexing languages, such as the List of Subject Headings and thesauri, to keep terminology consistent. Their work is especially important for micro-documents like journal articles, where users need to pinpoint relevant pieces among vast amounts of text.

Abstractor

Closely linked to indexing is abstracting. The abstractor prepares concise summaries, called abstracts, that capture the essential content of a document. An abstract is an abbreviated representation of document content that reduces the time a user spends searching and helps them decide whether to read the full text. Preparing a critical abstract, in which the abstractor includes interpretation and evaluation, requires genuine subject expertise and is time-consuming. Together, indexing and abstracting form the backbone of services like Library and Information Science Abstracts (LISA), an international tool covering library science, information science, publishing, and related fields.

Reference librarian

The reference librarian is the most visible professional to the average user. This role demands strong communication skills, broad subject knowledge, familiarity with the library’s print and electronic collection, and the ability to conduct a reference interview to understand exactly what a user needs. Reference librarians help researchers select search terms, navigate online databases, prepare references and citations, and locate relevant sources. In the digital era, their role as educators of information literacy has become particularly significant, since users increasingly need guidance on evaluating and using digital information responsibly.

How these roles work together

The real strength of a library lies in how these roles connect. A document’s journey illustrates this clearly. It is first selected and acquired, then passed to the cataloguer who creates its bibliographic record. The classifier assigns it a class number so it can be shelved logically. For journal articles and special collections, indexers and abstractors create access points and summaries. Finally, the reference librarian uses all of these tools to help a user actually find and use the document.

This is why job descriptions in real libraries often overlap. A single position may involve original cataloguing, maintenance of the automation system, and regular shifts at the reference desk. In smaller institutions, one professional may wear several hats, while large academic and research libraries, including those attached to scientific organizations like CSIR, DRDO, and ISRO, employ dedicated specialists for each function. In such organizations, library posts are often equivalent to officer or scientist grades.

The evolving role of library professionals

The profession has changed dramatically in recent decades. Traditional responsibilities of collection development and maintenance remain important, but today’s professionals must also navigate a complex digital information ecosystem. Modern library professionals are no longer simply custodians of books; they have become knowledge navigators, technology specialists, and community facilitators.

This shift means that contemporary roles increasingly demand expertise in digital preservation, metadata management, information literacy instruction, and sometimes even basic programming. Machine-readable cataloguing (MARC) and metadata-based systems have transformed how items are organized, and titles such as Metadata Librarian, Information Architect, and Systems Librarian now sit alongside the traditional categories. The core mission of organizing information for access remains the same, but the tools and skills required keep expanding.

National-level bodies support this professional community. The Indian Library Association represents library professionals and promotes education, research, and development in the field, while the UGC and the All India Council for Technical Education set qualification standards for academic library staff across the country.

For LIS students, understanding these categories is more than exam preparation. It is a map of possible career paths. Whether your interest lies in the analytical precision of cataloguing and classification, the content-focused work of indexing and abstracting, or the people-facing role of reference service, each specialization offers a distinct way to contribute. Knowing the difference between a classifier and a classificationist, or between an index and an abstract, signals genuine command of the field, the kind of detail that distinguishes a trained professional from a casual observer.
