Every year, thousands of research papers, conference proceedings, and technical reports pour into almost every subject area. For a scientist, planner, or research scholar, scanning all of this to understand where a field is actually heading is nearly impossible. This is exactly the gap a trend report fills. It is a consolidated information product that studies recent literature, identifies the general direction in which a subject is moving, and presents that picture in a compact, usable form. For students of library and information science, the trend report is a perfect example of how information professionals add value by analysing, condensing, and repackaging knowledge rather than merely storing it.

What a trend report actually is

A trend report is a product of information analysis, consolidation, and repackaging, prepared mainly for the subject specialist. Its core purpose is to meet the specific subject requirements of users who need to stay current in their field. The Documentation Research and Training Centre (DRTC) defined it concisely in 1971 as an exposition of a subject that gives an account of the general direction of research, based on an assessment of current developments.

Three features set a trend report apart from an ordinary literature review. First, it analyses the change in direction of a subject over a period of time rather than just summarising it. Second, it attempts to spot a pattern of growth within that subject. Third, on the basis of that pattern, it helps predict future developments. So a trend report is not only backward-looking; it uses past and present literature to point toward what is likely to come next. Trend reports belong to the same family of consolidated products as reviews and state-of-the-art reports, all of which are classified as secondary information sources.

The need for trend reports

The single biggest driver behind trend reports is information explosion. The number of documents in every discipline keeps multiplying, and even a narrow subject area now holds more literature than any individual can read. A specialist who wants to keep up faces three practical problems: relevant information is scattered across many publications, much of it is highly technical or in different languages, and the sheer volume makes scanning everything unrealistic.

Ordinary documentation services do not fully solve this. Indexing and abstracting services point users to where information exists, but they do not digest, evaluate, or synthesise that information. They tell you what has been published, not what it collectively means or where the field is going. A specialist reading dozens of abstracts still has to do the hard intellectual work of connecting them.

A trend report closes this gap. It acquaints the specialist reader with recent developments and research in a particular subject, already analysed and organised. This lets the reader use research time far more productively, because the time-consuming task of surveying, sifting, and connecting the literature has already been done by an information specialist. In this sense, trend reports help conserve research potential by freeing experts to focus on actual research rather than literature scanning.

Who benefits

The primary users are subject specialists: scientists, engineers, medical professionals, policy makers, and executives in government, research institutions, and industry. In commercial settings, many organisations now compile trend reports each season to stay competitive with a changing marketplace. For research scholars and students, trend reports are an efficient entry point into a topic because they reveal the major directions of work without requiring a reading of every primary source.

The preparation process

Preparing a trend report is demanding, particularly for a library and information science professional who may not be a subject expert. Earlier, trend reports were written by subject specialists themselves. Today, LIS professionals have developed the necessary techniques in subject analysis and in identifying patterns of development, which lets them prepare these reports. To do this well, the professional needs three things: familiarity with the different aspects of the subject, an understanding of the users’ information requirements, and knowledge of how to present ideas helpfully in a technical report.

Following the framework laid out in the DRTC seminar of 1971, the work of preparing a trend report is divided into three planes: the idea plane, the verbal plane, and the notational plane. This three-plane approach mirrors the methodology used for state-of-the-art reports and reflects the influence of S.R. Ranganathan’s thinking on information organisation.

Work in the idea plane

This is where the intellectual core of the report is built, in four steps. First comes the choice of subject, decided in consultation with the specialist for whom the report is intended; at this stage the precise scope and the time period to be covered are fixed. Second is the collection of ideas, where relevant documents, especially journal articles, are scanned, recorded, and ranked, and an informative abstract is prepared for each selected article. Third is the arrangement of ideas in a helpful sequence, chosen for how useful it is to the reader. Fourth is integrating the information into an organised text, where the perspective approach central to a trend report is applied so that ideas flow logically from one to the next.

Work in the verbal plane

Here the focus shifts to language. The terminology used must be free of homonyms and synonyms so that no confusion arises about what a term means. The expression of ideas should be simple, precise, and transparent, and the level of writing must match the comprehension level of the intended user. The aim is clarity, because a trend report that the specialist cannot quickly understand defeats its own purpose.

Work in the notational plane

The final plane deals with structure and representation. An expressive notation is used to represent ideas according to their hierarchical level, and the arrangement is organised in a sequence helpful to the majority of users. The text is then given a proper physical structure: a title page, a contents page, an informative abstract, and an expressive index. This careful structuring is what turns a body of analysed ideas into a finished, navigable document.

Functions of trend reports

The functions of a trend report follow directly from its purpose. The most important is consolidation: it gathers scattered information from many primary sources and brings it together into one coherent text. Closely related is analysis and synthesis, where the raw literature is evaluated and combined rather than simply listed, giving the reader an integrated view of the subject.

A second key function is identifying direction and pattern. By examining how a subject has changed over a defined period, the report reveals where research effort is concentrating and which areas are growing or fading. From this pattern comes the third function, prediction, where the report points toward the likely future developments of the field, which is invaluable for planners and decision makers allocating resources.

A fourth function is saving the specialist’s time. By delivering pre-digested, repackaged information, a trend report removes the burden of literature scanning and lets experts apply their effort to research itself. Underlying all of these is a fifth function: promoting cooperation between subject specialists and information specialists, because a good trend report is usually the product of close consultation between the two. This collaboration is part of the broader practice of information consolidation and repackaging that UNESCO promoted through its General Information Programme.

Examples of trend reports

Trend reports appear across many fields, and a few concrete examples make their value clear.

Health is one of the clearest domains for trend reporting because tracking the direction of a disease guides national policy. The India TB Report, published annually by the Central TB Division under the Ministry of Health and Family Welfare, consolidates surveillance data to show how tuberculosis is moving in the country. At the global level, the World Health Organization’s Global Tuberculosis Report performs the same function internationally. According to government data, India’s TB incidence fell from 237 cases per lakh population in 2015 to 187 per lakh in 2024, a 21% decline. These reports do exactly what a trend report should: they assemble scattered data, reveal the direction of change, and inform future planning under programmes like the National TB Elimination Programme.

The field of LIS produces its own trend reports. The IFLA Trend Report, launched by the International Federation of Library Associations and Institutions in 2013, brings together perspectives from thought leaders inside and outside the library field to identify changes affecting libraries and the wider information environment. The American Library Association’s Center for the Future of Libraries maintains an evolving collection of trends organised into categories such as society, technology, education, and economics. The quarterly journal Library Trends, published since 1952, similarly reviews current theory and practice and evaluates new directions for the profession.

In finance, the Reserve Bank of India’s Report on Trend and Progress of Banking in India is a long-standing example. It consolidates the year’s developments across the banking sector, identifies patterns, and provides the analysis that planners and policymakers rely on. This shows how the trend report concept extends well beyond science into economic and commercial decision making.

Why trend reports still matter

The volume of published information has only grown since these products were first conceived, which makes their underlying logic more relevant than ever. A trend report converts an overwhelming mass of scattered literature into a focused, forward-looking account that a busy specialist can absorb quickly. For LIS professionals, mastering the preparation of trend reports demonstrates a core professional skill: the ability to analyse, consolidate, and repackage information so that knowledge actually reaches and serves the people who need it.
