Before a damaged book or a year’s worth of journal issues can be sewn or glued into a sturdy new volume, it has to be made ready. This preparation stage is the quiet, careful work that decides whether the finished binding will be neat, complete, and long-lasting. Libraries that send hundreds of volumes to the bindery each year know that mistakes made here become permanent once the spine is sealed. So the staff move through a clear sequence of steps: folding and gathering the pages, collating and repairing them, and finally flattening and guarding weak folds. Each step builds on the last. Get them right, and the binder receives a clean, ordered text block that is a pleasure to work with.

Folding and gathering

The first task is to organise loose printed material into the basic structural units of a book. When pages come from large printed sheets, those sheets are folded in a precise order so that the page numbers fall into the correct sequence. A folded group of sheets like this is called a section, a gathering, or a signature. As the basic building block of codex bindings, the section is the unit the binder later sews through the fold.

How folding creates the page sequence

A single large sheet can carry four, eight, sixteen, or more pages printed on both sides. The sheet is passed through a folding process and creased halfway down its length one or more times until two things happen: the leaves reach the correct page size for the book, and the page numbers line up in the right reading order. The fold along the spine edge, often called the backbone, gives the section its strength and provides the surface through which it will eventually be sewn. This is why a traditionally bound book opens flat and holds together for decades.

Why gathering matters in libraries

Gathering is the act of arranging the folded sections in their correct sequence, one after another, ready for sewing. In a commercial press this is done by machines that pull one section at a time from a row of hoppers and drop it onto a moving belt. In a library, the situation is often different. Modern library binding frequently works with individual pre-cut single leaves rather than large folded sheets, yet the principle of organising pages into manageable, correctly ordered sections still holds.

Library gathering also has a special job that commercial printing rarely faces: combining material from different sources into one volume. The classic example is binding a full year of a periodical. Separate journal issues, often arriving over twelve months, must be assembled in strict chronological order so the bound volume reads from the earliest issue to the latest. Title pages, indexes, and contents lists supplied at the year’s end have to be slotted into their proper place. This demands real care, because a journal volume with issues out of order is far less useful to a researcher.

Collation and repairing

Once the material is folded and gathered, it must be checked before anything is made permanent. This is where collation and repair come in. Together they confirm that the content is complete, correctly ordered, and physically sound enough to survive binding and years of future handling.

Collation: quality control before the point of no return

Collation is a systematic page-by-page review of the gathered material. The aim is to catch errors that would otherwise be locked inside the bound volume forever. A binder cannot easily fix a missing page or a misplaced section after sewing and casing, so collation is the last reliable chance to spot problems.

A thorough collation usually covers several points. Pagination check: every page is confirmed to be present and in the correct numerical sequence, with any gaps or duplicates flagged. Content completeness: illustrations, maps, tables, foldouts, and special inserts are all verified, since these are the items most often lost or misfiled. Administrative markings: for library material, this also means checking that accession stamps, date-due slips, barcodes, and ownership marks are correctly placed and will not be trimmed off or hidden by the binding. The standard practice in many bindery handbooks is also to remove all loose inserts and advertisements before the volume moves forward, so that only the intended content is bound in.

Repairing damage before it becomes permanent

Preparation is the natural moment to deal with existing damage, because problems left unrepaired tend to grow worse once a book is in regular circulation. Conservation-minded repair at this stage improves both the strength and the appearance of the finished volume. The work follows established conservation methods rather than quick fixes.

Common repairs include the following. Tear mending: torn edges are carefully aligned and joined. The widely accepted method is to apply thin strips of Japanese tissue with wheat starch paste, a technique that works on machine-made papers, brittle papers, and manuscripts alike. Page reattachment: loose leaves are secured back into their correct sections. Old repair removal: earlier fixes made with pressure-sensitive sticky tape are carefully taken off, because such tapes yellow, stain, and damage paper over time, and are replaced with stable conservation materials.

The choice of adhesive matters a great deal. The Canadian Conservation Institute recommends wheat starch paste for repairing and reattaching leaves in books, precisely because many commercial adhesives are chemically unstable and disfigure paper as they age. Wheat starch paste has a near-neutral pH and can be removed with water, which means a future conservator can undo the repair if needed. This quality of reversibility is a guiding principle in serious library conservation work.

Flattening and guarding

The final preparation steps focus on the folds and the overall flatness of the text block. A book that lies flat and has clean, well-supported folds will sew evenly and open properly. This is where flattening and guarding do their work.

Flattening creased and distorted leaves

Old volumes that are being rebound often arrive with sections that have curled, cockled, or bent at the fold through years of use. Before sewing, these signatures need to be made as flat as possible, especially along the spine edge, so they stack neatly and sew without distortion. The practical method is gentle and patient: press along the fold to relax the creases, straighten any bent edges, and then place each section under a clean board with a weight on top for a period of time. Tapping carefully along the fold can help straighten stubbornly bent edges. The goal is a smooth, even text block that will not bulge or twist once bound. Brittle or fragile leaves are sometimes humidified and dried under weight to relax and flatten them safely before any further handling.

Guarding weak and broken folds

Guarding is one of the most important preparation techniques for older or heavily used material. The fold through which the leaves are sewn takes a lot of stress, and over time these folds weaken, split, or break completely. If a split fold is sewn as it is, the page will simply tear away from the binding during use. Guarding repairs and reinforces the fold so it can hold the sewing thread.

In this procedure, strips of Japanese tissue are adhered to the folds with starch paste, strengthening the spine edge of each section before rebinding. Guarding can also rescue books that were originally perfect bound, meaning the folded edges were trimmed off and the single leaves glued straight onto the spine. Such books cannot be resewn in the traditional way because they no longer have folds. The solution is to guard the individual leaves, attaching a narrow strip of strong tissue to join pairs of single sheets back into something that behaves like a folded section, so the volume can be sewn and returned to its cover.

Guards are also used to compensate for thickness. When a volume contains folded maps, plates, or inserts, the binding edge can be built up with narrow paper strips, sometimes called stubs or guards, so the spine stays even and the foldouts open without strain. The guidance from the Book and Paper Group stresses matching the grain direction and weight of the repair material to the original paper, since a mismatched repair can cause new distortion rather than curing the old one. This attention to grain direction and material compatibility is what separates a lasting conservation repair from a temporary patch.

Bringing the steps together

These stages are not isolated tasks but a single connected workflow. Folding and gathering give the volume its structure and correct order. Collation and repair confirm that the content is complete and sound. Flattening and guarding make the physical object ready to withstand the binding process and years of use afterwards. A volume that has passed cleanly through all of them arrives at the sewing frame as a tidy, ordered, and stable text block. For libraries managing limited budgets and large, well-used collections, this disciplined preparation is what makes the difference between a binding that lasts a few years and one that serves readers for generations. The careful selection of repair materials by weight, texture, and colour at this stage quietly shapes the durability of everything that follows.
