Walk into any college library and you will see shelves of sturdy, uniform volumes that have survived years of being borrowed, photocopied, and stuffed into bags. That durability is rarely an accident. It is the result of binding, one of the oldest and most practical preservation techniques in library work. Long before digitisation became a buzzword, librarians relied on binding to hold pages together, protect them with strong covers, and keep knowledge usable for the next reader. Understanding how binding works helps you see why a well-bound book lasts decades while a cheaply produced one falls apart within months.

What binding really means in a library

At its core, binding is the process of securing loose pages or sections together and attaching them to a protective cover to create a durable, usable book. The goal is not decoration. It is long-term preservation combined with everyday usability, so that the volume in a reader’s hands is complete, opens easily, and can withstand repeated handling.

Libraries deal with binding in two broad situations. The first is binding new material, such as turning a year’s worth of loose journal issues into a single hardbound volume, or strengthening a flimsy paperback before it goes into circulation. The second is rebinding, which means giving a worn or damaged book a fresh, sturdy structure once its original cover has failed. Both serve the same purpose: keeping the physical collection in working order without losing the information it holds.

It helps to think of binding as the first line of defence in preservation. A book that is properly bound resists the daily stresses of being opened, shelved, transported, and read. A book that is not will loosen, shed pages, and eventually become unusable, no matter how valuable its content.

The binding decision: to bind or not to bind

Before any physical work begins, a librarian has to make a judgement. Not every item should be bound, and not every damaged book should be rebound. This decision-making stage is where professional preservation knowledge matters most.

When binding makes sense

A few practical factors guide the decision. Physical condition is the starting point: a book may be sent for rebinding only as long as the paper is not too brittle from age and there are sufficient margins to work with. If the inner margin is too narrow, the binder cannot sew or trim without cutting into the text.

Long-term value is the next consideration. Items with lasting research or reference significance justify the cost and effort of binding. Frequently consulted volumes, bound runs of periodicals, and standard textbooks are obvious candidates. Usage patterns matter too: high-circulation books take more punishment and benefit most from a strong bound structure.

When binding is the wrong choice

Binding is not always appropriate. According to guidance from the Northeast Document Conservation Center, standard library binding is a good choice where economy and durability are the goals, and it suits books that are valued chiefly for the information they contain rather than as objects. However, rare books, items with historical or associational significance, and volumes valuable as physical artefacts should not be put through routine binding. These belong with a trained conservator, because aggressive trimming or resewing can destroy exactly what makes them special.

This is an important distinction for any library. Library binding prioritises strength and low cost; conservation prioritises preserving the original object. Choosing wrongly can mean either wasting resources on an ordinary book or permanently damaging an irreplaceable one.

Choosing the type of binding

Once the decision to bind is made, the next choice is the method. Options range from sewn bindings, which are highly durable and let a book open naturally, to adhesive (glue-based) methods that are cheaper and faster. The right choice depends on paper thickness, how the book will be used, and budget. A reference volume that will be opened flat on a desk for years needs a different approach from a popular novel expected to circulate heavily for a shorter life. Most libraries send this work to a commercial binder rather than maintaining an in-house bindery, so clear communication of these specifications becomes essential.

The stages of the binding process

Whether done by hand or machine, traditional binding follows a logical sequence of stages. Each step builds on the previous one to give the finished book its strength, shape, and usability. Understanding these stages helps a librarian assess binding quality and communicate effectively with a binding vendor.

Preparation and inspection

Before any folding or sewing, the material is inspected and prepared. This means a completeness check to confirm all pages, plates, and illustrations are present and in the correct order, followed by pagination verification to catch any missing or misordered pages. Ownership marks and call numbers are noted, dust jackets and loose cards are removed, and a binding slip recording the exact instructions, such as cover colour, spine lettering, and any special treatment, is prepared for the binder. This preparatory phase prevents costly errors and lets the binding be tailored to each item.

Folding

For books built from large printed sheets rather than existing volumes, the process begins with folding. A single large sheet is printed with multiple pages and then folded precisely so the pages fall in the correct sequence. Each folded group is called a signature or section. The number of folds determines the format: a single fold produces a folio of four pages, two folds produce a quarto of eight pages, and three folds produce an octavo of sixteen pages. Accurate folding is the foundation of a well-ordered book, since every later stage depends on the pages sitting correctly.

Gathering and collating

The folded signatures are then gathered in the right order to form the complete text block. Collating is the careful check that every signature is present and in sequence, with none missing, duplicated, or upside down. In a busy bindery, the quantity of each job is tracked at every stage so that no signature or volume is lost along the production line.

Sewing

Sewing is what holds the book together at its heart. The purpose of sewing is to join the folded sections into a single, secure text block. In traditional sewing, a threaded needle passes through the fold of each signature and around sewing supports such as cords or tapes, linking section to section. Sewing through the folds gives excellent durability, preserves more of the inner margin, and lets the book open without straining the paper.

Libraries also use alternatives. Many commercial library binders use oversewing, in which the original spine is milled off to create a block of loose leaves that are then stitched together. This is extremely strong but sacrifices some of the inner margin and limits how flat a book can open. A more modern option is double-fan adhesive binding, where the pages are fanned in both directions and a flexible glue is applied to the spine edge. When done well with the right adhesive, it approaches the durability of sewing at lower cost, and works best with flexible paper and adequate margins.

Forwarding

Once the pages are secured, a series of operations known collectively as forwarding turns the flat text block into a proper book structure. Forwarding includes everything done to shape and reinforce the block before the cover is added.

The first key steps are rounding and backing. In rounding, the spine is gently shaped into a convex curve, often described as about a third of a circle. In backing, the binding edges of the signatures are bent outward to form shoulders. Together these create a spine slightly wider than the rest of the book and provide grooves, or joints, into which the cover boards fit. This is not mere decoration: rounding and backing distribute the stress of opening, counteract the spine’s tendency to cave in or bulge, and take pressure off the hinges, all of which add years to the book’s working life.

Forwarding also includes trimming the edges to a clean, even size, lining the spine with cloth or paper for extra support, and attaching headbands and tailbands at the top and bottom of the spine to reinforce the sewing and finish the appearance. Endpapers, the folded leaves that link the text block to the cover boards, are also added at this stage.

Covering and casing-in

The final stages give the book its protective outer shell. In case binding, the most common library method, the hard cover or case is made separately from boards covered in cloth or another material, and then joined to the finished text block in a step called casing-in. Here the outer endpapers are pasted to the inside of the front and back boards, bonding the block firmly to its cover. The cloth most favoured by library binders is buckram, a tough cotton fabric usually coated with acrylic so that it resists water, mould, insects, and light. After casing-in, the book is pressed and the joints are set so the cover and block dry into a single, solid unit.

Why binding still matters

It is tempting to assume that digitisation has made physical binding obsolete. It has not. Physical collections remain central to teaching and research, and a digital copy does not preserve the original artefact. Binding ensures that printed materials stay complete, durable, and easy to use across generations of readers. For libraries managing limited budgets, sound binding decisions also stretch resources by extending the life of heavily used volumes instead of replacing them.

The craft sits at the meeting point of skill and judgement. The physical stages, from folding through casing-in, demand precision, but the decisions around them, what to bind, what to rebind, and what to send to a conservator, demand professional understanding of preservation priorities. Both halves are part of the same goal: keeping knowledge accessible and intact.
