Before a worn-out journal or a damaged book ever reaches the sewing machine or the glue station, it passes through a quieter but equally important step: assembling. This is where a binder or library staff member sits down with a stack of leaves, sheets, or loose issues and decides whether the material is fit to become a single, durable volume. Get this stage wrong, and you may permanently lock a missing page or a misordered issue inside a beautifully bound book. Get it right, and you create a volume that serves readers for decades. Let us walk through how assembling actually works and why it sits at the heart of good binding practice.

What assembling means in library binding

Assembling, often discussed alongside collation, is the first real task in the binding workflow. It is the systematic checking and arranging of all the parts of a volume so they sit in the correct sequence before any permanent attachment happens. The recognised standard for the field, the ANSI/NISO/LBI Library Binding Standard, defines collation as the process of checking books and periodicals for completeness, physical characteristics, margin width, condition of the paper, and overall suitability for binding, along with arranging the material in proper sequence.

In simple terms, assembling answers two questions. First, is everything here and in the right order? Second, is this item even worth binding in its current state? Only after both questions are settled does the volume move forward. This makes assembling a form of quality control. Any error caught here can still be fixed; the same error discovered after sewing becomes very expensive or impossible to undo.

Inspecting for completeness and damage

The core of assembling is inspection. Each volume must be examined for missing or defective leaves and for physical damage that could affect binding. According to the library binding standard, books should be inspected for completeness and defects, and any incomplete or defective volume should either be returned to the library or bound as-is, strictly following the library’s instructions. The binder does not make that call alone; the library decides.

Checking the page sequence

The most basic check is the paging sequence. Every page should be present and follow in correct numerical order, with no leaf missing, torn out, or bound in the wrong place. This becomes especially demanding with older printed books and manuscripts, where pagination can be irregular and a missing gathering is easy to overlook. The historical practice of using a printer’s signature statement existed precisely so that binders could confirm they had received every sheet needed for a complete copy. That same logic survives today: confirm the full set is present before committing to permanent binding.

Assessing the paper and margins

Inspection goes beyond counting pages. The standard requires an examination of the condition of the paper, the nature and condition of the original leaf attachment, and the width of the binding margin. The head, fore edge, and tail margins are studied to identify volumes that cannot be trimmed without cutting into text or illustrations. Based on this inspection, a suitable method of leaf attachment is chosen and any need for paper mending or special treatment is flagged. A book with brittle, acidic paper or extremely narrow inner margins may not survive certain binding methods, so this assessment shapes every decision that follows.

Deciding suitability for rebinding

Not every item should be bound. Some volumes have artefactual or historical value that ordinary library binding would destroy, while others are physically unable to withstand the process. Preservation guidance from the Northeast Document Conservation Center stresses that the decision to bind, and how to bind, depends on a book’s value and how it is used. If a book is to be rebound, it must first be pulled, meaning the old cover is separated from the text and the existing threads, tapes, and glue are removed. This is tedious work, and if the folds of an old book are damaged, a guard may be needed to reinforce them before reattachment.

Why periodicals demand extra care

Periodicals are where assembling becomes most challenging, and they form a major part of the collections in research and university libraries. Because a single bound volume is built from several separate issues, the assembling step has to merge multiple physical items into one coherent whole while keeping everything in chronological order.

Sequencing issues correctly

For periodicals, correct sequencing of the separate issues is the central task, along with inserting the title page, contents, and index pages in their proper places. The issues must be physically arranged in the order the library wants them bound. A common bindery practice is to stack the issues in order, for example January on top followed by February and March, and hold them together with an elastic band or string before they travel to the binder. The library binding standard reinforces this by requiring that standard periodicals be inspected for completeness and for the correct order of issues.

Handling title pages, indexes, and supplements

Periodicals arrive with extra components that need deliberate placement. Guidance on preparing periodical volumes recommends binding the volume title page at the front of the issues it relates to, and placing the volume index after the last issue it covers. When supplements share continuous pagination with the main text, they can be bound in place; when they are paged separately, they are usually gathered together at the end. Where an index and title page can be separated, they may be positioned independently, but if they are printed inseparably, the index is placed correctly and the title page is set aside. These small decisions prevent a reader from hunting through a volume for a contents list that ended up in the wrong spot.

Dealing with missing issues

Because periodicals are checked for completeness throughout the year, a missing issue is often discovered during assembling. The standard practice is to first try to locate the missing issue within the library’s own holdings or issue records, and to obtain title pages, contents, and indexes from the publisher when they are available. Sorting this out before binding is far easier than discovering a gap after the volume is sewn shut.

Removing unnecessary elements

A periodical or magazine carries a lot of material that adds bulk without adding lasting value. Part of assembling is deciding what to strip out so that only the meaningful content is preserved.

Advertisements and covers

Full-page advertisements, particularly those clustered at the front and back of each issue, are routinely removed during preparation. Library bindery instructions commonly note that loose inserts and advertisements should be taken out before binding, and many commercial binders offer removal of all adverts and covers as part of their standard periodical service. Covers are treated with judgement: if a cover carries no significant information it is discarded, but the front cover is retained when the contents or other useful details are printed on it. Removing this surplus keeps the bound volume focused on the text readers actually need.

Keeping the volume to a manageable thickness

One practical limit shapes how much can go into a single volume: thickness. A book that is too thick becomes awkward to open, hard to photocopy, and prone to strain at the spine, which shortens its life. Binders therefore cap how much material is consolidated into one volume.

The exact figure varies by bindery, but the principle is consistent. Several commercial library binders suggest a maximum of around two inches per bound volume, and bindery handbooks advise that serials prepared for binding should not exceed roughly 2.5 inches whenever possible. A practical ceiling in the range of about 7 cm, which is close to these inch-based guidelines, keeps a volume comfortable to handle and durable in use. When a year’s worth of issues would exceed the limit, the simple solution is to split them across two or more bound volumes rather than forcing everything into one unwieldy book. Choosing the right thickness during assembling directly protects the volume’s long-term preservation, which is the entire goal of library binding.

Where assembling fits in the full binding process

It helps to see assembling in context. As described in standard accounts of the elements of binding, the sequence runs from collating all parts and pages into the proper order, through sewing, attaching covers, fixing endpapers, colouring the edges, adding head bands, and providing hollow backs. Assembling sits right at the front of this chain. Every later step depends on the material having been correctly checked and ordered first. A perfectly sewn spine and a handsomely stamped cover mean little if a page is missing or two issues are out of sequence inside.

This is also why communication between the library and the binder matters so much. Advice on the binder-librarian relationship recommends that both sides agree in advance on how to handle missing pages or issues, how periodicals should be collated, and where ownership stamps should sit so they are not trimmed away. Settling these questions before assembling begins prevents costly mistakes and ensures that what comes back from the bindery matches what the library actually wanted.

A practical checklist for assembling

To bring it all together, assembling a volume well means working through a clear set of confirmations. Completeness: verify every page and, for periodicals, every issue is present. Sequence: arrange leaves and issues in correct order, with title pages and indexes positioned properly. Condition: assess paper quality, leaf attachment, and margins, flagging anything that needs mending. Suitability: decide whether the item should be bound, rebound, or handled some other way. Reduction: remove advertisements and unnecessary covers. Thickness: keep the volume within a manageable limit, splitting it if needed. Run through these every time, and the binding that follows stands on a solid foundation.
