Walk into any old library or archive and you will find shelves of brittle newspapers, fading manuscripts, and rare books that crumble a little more each time someone opens them. These materials hold knowledge that took centuries to accumulate, yet the very act of reading them speeds up their decay. This is the core problem digitisation solves. By converting physical documents into digital files, libraries and archives can protect fragile originals while opening their collections to anyone with an internet connection. Understanding why this shift matters is essential for anyone studying how information is preserved and shared today.

Why preservation cannot wait
Preservation is the most urgent reason institutions turn to digitisation. Physical materials are vulnerable to a long list of threats: humidity, pests, fire, floods, acidic paper that turns yellow and breaks, and the simple wear of repeated handling. Once an original is lost, the information it carried is often gone forever. Digitisation creates a faithful copy that survives independently of the physical object, which means the knowledge endures even if the original does not.
The fragility of physical collections
Every time a researcher handles a rare document, they introduce a small risk of damage. Folds crack, ink smudges, and oils from skin transfer onto pages. The Library of Congress notes that some items are so fragile they require careful conservation treatment before they can even be safely scanned, and a few are simply too damaged to digitise at all. This is why the field developed the idea of digitisation for preservation. The American Library Association explains that this approach grew out of earlier microfilming efforts, and over time digitisation has become an accepted method for preservation reformatting in its own right. By making a high-quality digital surrogate available, the original can be stored safely and handled only rarely.
India’s manuscript heritage at risk
Nowhere is this urgency clearer than with India’s manuscript collections. The country holds one of the largest bodies of manuscripts in the world, much of it written on palm leaves, birch bark, and handmade paper. Palm leaf is organic material, and in a tropical climate it reacts sharply to moisture, heat, fungi, and termites. As reporting on these preservation efforts points out, neglected manuscripts in damp storerooms can be destroyed within years.
To tackle this, the government launched the National Mission for Manuscripts in 2003 under the Ministry of Culture, setting up a network of resource and conservation centres to locate, document, conserve, and digitise manuscripts across the country. Projects like the documentation of palm leaf manuscripts in northern Kerala show how this works in practice: teams locate fragile manuscripts in private collections, digitise tens of thousands of pages, and return the originals to their owners while keeping a digital copy safe. The digital file becomes a permanent backup against the slow loss of irreplaceable knowledge.
Widening access to knowledge
The second great benefit of digitisation is access. A physical document can only be in one place at one time, and only one person can read it at a time. A rare book locked in a special collections room in Kolkata is effectively invisible to a student in Guwahati or a scholar in another country. Digitisation breaks this barrier. Once an item is online, it can be viewed by thousands of people simultaneously, from anywhere, at any hour.
From a single reading room to the whole world
This is a profound change in how libraries serve their communities. Specialist digitisation services note that institutions can make rare books, manuscripts, and archival materials available to a far wider audience while simultaneously protecting the originals from handling. For students and independent researchers, this removes the cost and difficulty of travelling to distant archives. It also democratises knowledge that was once reserved for a small circle of dedicated researchers who could physically reach a collection. Material that was practically off-limits becomes a few clicks away.
The National Digital Library of India
The clearest example of access at scale is the National Digital Library of India (NDLI), a virtual repository of learning resources sponsored by the Ministry of Education through its National Mission on Education through Information and Communication Technology. Developed at IIT Kharagpur, it is not merely a storehouse of files but a single-window search platform that brings together resources from many institutions, allowing learners to find the right material with the least effort. When it was dedicated to the nation, officials highlighted how its mobile app was already taking the content of libraries to users in the remotest areas of the country.
The reach of such platforms has grown sharply. Writing in Communications of the ACM, the NDLI team described enormous growth in user engagement, especially after the pandemic, as the platform took digital education to remote corners of the country. The same team is working to make collections available in regional languages through semi-automatic translation, so that access is not limited by language either. This matters in a country with such linguistic diversity, where knowledge locked in one script or tongue can be opened up to many more readers.
How technology powers modern research
Digitisation does more than copy and share documents. It transforms how research is done. A scanned image alone is useful, but the real power comes from the technologies layered on top of it. These tools turn a static collection into a dynamic resource that researchers can search, analyse, and connect in ways that were impossible with paper.
Searchable text through OCR
The single most important technology here is Optical Character Recognition (OCR). OCR reads a scanned image and converts the printed words into machine-readable text, which is then embedded in the file while keeping the original image intact. As archival specialists explain, this adds full-text search and research functionality to a collection, turning it into far more than a set of pictures. Instead of flipping through hundreds of pages to find a single reference, a researcher can search an entire archive in seconds.
This capability supports advanced research methods. Guidance from Yale University Library describes how scholars use OCR to convert documents into machine-readable text and then apply text-mining techniques across large collections. Older or non-Latin scripts remain a challenge, and projects hosted by Europeana have worked on building open-source frameworks to improve recognition of historical and handwritten material. For Indian languages and ancient scripts, this is an active and important frontier.
Building connected networks of knowledge
Modern digitisation also links collections together. When documents carry searchable text and structured metadata, one record can lead to another through shared names, places, and themes. Analysts of the field describe how OCR is now combined with translation tools, transcription platforms, and semantic search engines, blurring the lines between libraries, museums, and research databases to create something closer to a connected network of knowledge than a set of isolated repositories. A student researching a single historical figure can trace that person across newspapers, archives, and manuscripts held by different institutions.
India’s newest effort reflects this ambition. The Gyan Bharatam Mission, announced in the Union Budget for 2025-26, aims to survey, document, conserve, and digitise manuscripts at a national scale and upload them to a central digital repository for public access. The plan even uses a mobile app to record the location and condition of manuscripts held by private owners, while assuring those owners that ownership stays with them and only the digital preservation is handled by the government. This combination of grassroots documentation and centralised digital access shows how technology is being used to recover and connect a vast civilisational record.
Balancing the benefits with the challenges
Digitisation is powerful, but it is not a magic fix. Digital files need ongoing care of their own. The preservation community recognises that digital storage costs money, file formats can become obsolete, and backward compatibility is never guaranteed. A scanned image saved in an outdated format can become as inaccessible as a crumbling manuscript. The International Federation of Library Associations adds that digital preservation is a specialised field requiring skills in IT and digital archiving, and that funding, staffing, and constant technology upgrades are real strains, especially for smaller institutions. Selecting what to digitise first, and planning for the long-term survival of digital files, is therefore as important as the scanning itself. The need for digitisation is real, but so is the need to do it thoughtfully.
