Walk into almost any college or university library in India today, and the card catalogue drawers have given way to a computer screen where you can search the entire collection in seconds. This shift is powered by library automation software, also called an Integrated Library Management System (ILMS). These packages handle everything from buying books to issuing them and tracking overdue returns. The Indian market offers a mix of options: some are home-grown solutions built for local needs, while others are foreign-origin systems used by libraries across the world. Understanding what each one offers helps librarians and LIS students make sense of a crowded and important field.

An overview of library management systems in India
Library automation in the country has a longer history than many people assume. The first serious efforts date back to 1965, when the automation of indices began at the Indian National Scientific Documentation Centre (INSDOC). The real momentum, however, arrived in the 1990s and 2000s, when both domestic and international software companies entered the market with packages designed to automate routine library work.
Today the systems in use fall into two broad groups. The first is commercial or proprietary software, which libraries pay a licence fee to use. The second is open-source software, which is free to download, install, and modify. Within the commercial group, locally developed systems like LibSys and SOUL have a strong presence, while the open-source group is led by Koha and NewGenLib. According to a study unit from IGNOU’s eGyanKosh repository, around fifteen open-source ILS packages are now available, and their arrival has made large-scale automation of school, college, and public libraries far more affordable than before.
Regardless of origin, most of these systems share a common architecture. They are built around modules that mirror the major functions of a library: acquisition (buying material), cataloguing (describing it), circulation (issuing and returning it), serials control (managing journals and magazines), and the Online Public Access Catalogue or OPAC (letting users search the collection). The differences lie in how well each module works, what standards it follows, and how much it costs.
Popular foreign library management systems
Three foreign-origin systems have shaped the Indian automation landscape: Koha, Alice for Windows, and Virtua. Each represents a different philosophy of how library software should be built and sold.
Koha
Koha holds a special place in library history as the world’s first free and open-source ILS. It was developed by the Horowhenua Library Trust in New Zealand in 2000 and has since grown through a global community of contributing libraries. Because it carries no licence fee and is released under the General Public License, it has become extremely popular in cost-conscious institutions across India.
Koha is a full-featured, web-based system that runs on any operating system. Its modules cover acquisition, cataloguing, circulation, serials control, patron management, OPAC, reports, and a tools section. It supports both MARC21 and UNIMARC standards for cataloguing and includes a Z39.50 server for exchanging records with other libraries. The OPAC offers a clean search interface and can pull in extra content from sources like Amazon and Google Books, while logged-in members can place reservations and build reading lists. Its open nature means libraries can fully customise reports and item types to suit their own rules, which is a major reason it has been adopted in universities such as Chitkara University and The NorthCap University.
Alice for Windows
Alice for Windows, often shortened to AfW, is a commercial package developed by Softlink, an Australian company based in Brisbane. It is marketed worldwide through agencies in several countries, including India, and has claimed more than 13,000 installations globally.
Alice earned a reputation for being approachable and feature-rich, particularly in cataloguing. It offers extensive multimedia cataloguing and a keyword automation feature, along with a distinctive “library mapping” function that helps users locate where an item physically sits on the shelves. One limitation noted in comparative studies is that it primarily supports the USMARC format rather than the wider range of MARC standards that some competing systems handle. Even so, it remained a familiar choice in many school and special libraries because of its straightforward interface.
Virtua ILS
Virtua is a high-end commercial system developed by VTLS Inc., a company that grew out of the Virginia Tech Library System in the United States. It is aimed at large academic, public, and special libraries that need sophisticated functionality. In India, Jawaharlal Nehru University is among the institutions that selected Virtua for its central library.
Virtua is organised into seven robust modules: acquisition and fund accounting, cataloguing, circulation, serials control, OPAC, statistics and reporting, and the Chameleon Gateway. It is often described as the first Unicode-compliant library automation software, with strong multilingual support and advanced features such as FRBR functionality and RDA implementation. It runs on an Oracle relational database and supports multiple versions of MARC. In one comparative evaluation of software features, Virtua scored highest among the systems tested, reflecting its depth, though that sophistication usually comes at a higher price.
Indian library management system solutions
Alongside these foreign systems, several Indian-developed packages have been built specifically with the needs and budgets of local libraries in mind. SOUL and AutoLib are two of the most significant examples.
SOUL: Software for University Libraries
SOUL is arguably the most important home-grown library system in the country. It was designed and developed by the INFLIBNET Centre, an autonomous Inter-University Centre of the University Grants Commission. The software was created after extensive consultation with senior library professionals, with the specific goal of meeting the requirements of college, university, and other academic libraries.
SOUL has evolved through three major versions. The first release, SOUL 1.0, was unveiled at the CALIBER conference in 2000. SOUL 2.0 followed in January 2009, and the latest edition, SOUL 3.0, was launched on 24 February 2021. It works in a client-server environment and complies with international standards for bibliographic formats and circulation protocols.
The system is built around modules for acquisition, cataloguing, circulation, OPAC, serial control, and administration. Its strengths reflect Indian conditions directly. It offers Unicode-based multilingual support for Indian and foreign languages, follows standards like MARC21, AACR-2, and MARCXML, and supports the cataloguing of electronic resources such as e-journals and e-books. It also handles practical, ground-level needs that Indian libraries care about, including stock verification, book bank management, and the ability to export reports as Word, PDF, Excel, or MARCXML files. Newer versions add RFID support, self-generated barcodes, and compliance with the NCIP 2.0 and SIP2 protocols for electronic surveillance.
Two factors explain its dominance. First, it is affordable compared with foreign commercial systems and comes with free updates and region-wise maintenance support through regional coordinators. Second, it has scale: SOUL is reported to be used by more than 4,000 libraries, making it the most widely deployed library software in the country.
AutoLib
AutoLib is another notable Indian solution, especially popular in South India. It is produced by AutoLib Software System, a Chennai-based company founded in 1998 with the aim of providing total library automation at a reasonable cost. Over the years it has automated libraries and information centres in academic institutions, research bodies, and public libraries, serving several hundred clients in India and abroad.
One of AutoLib’s defining strengths is the range of editions it offers, which lets libraries pick a version that matches their size and type. These include standard and advanced editions, a multi-campus university edition, a corporate and R&D enterprise edition, public library editions, and even a bilingual Tamil and English edition and a dedicated school library edition. This flexibility suits the diverse linguistic and institutional landscape of Indian libraries.
On the feature side, AutoLib emphasises ease of use and efficient day-to-day operations. Its key features include customisable data entry screens, fast counter transactions, efficient circulation management, simplified book ordering and serial control, transaction alerts through SMS, and database security with backup and recovery. It also provides a digital library module based on the Dublin Core metadata standard for managing e-books, e-journals, and other multimedia, along with a web OPAC and a mobile app that lets users search the catalogue, reserve and renew resources, and even perform self check-out. Newer offerings integrate RFID technology and cloud-based access, reflecting the direction in which modern library systems are moving.
Choosing between local and foreign solutions
There is no single best system; the right choice depends on a library’s size, budget, language needs, and technical capacity. Foreign commercial systems like Virtua bring depth and global standards but carry higher costs. Open-source Koha removes the licence fee entirely but requires technical skill to install and maintain. Indian systems like SOUL and AutoLib offer the advantages of local support, affordability, and features tuned to Indian requirements such as multilingual cataloguing and book bank management.
What is clear is that comparative studies keep emphasising the same evaluation criteria: the range and integration of modules, compliance with international standards like MARC21 and Z39.50, the quality of the OPAC, multilingual support, and total cost of ownership. A small college library and a large central university library will weigh these factors very differently, which is exactly why such a varied market continues to thrive.
