Every book that reaches a library shelf has already completed a quiet journey behind the scenes. Before a reader can borrow a novel, a research scholar can locate a reference work, or a student can find a textbook for an exam, the document passes through a series of carefully managed steps. This behind-the-scenes work is called processing, and it is one of the most important housekeeping operations in any library. Without it, even the richest collection would be little more than a disorganized heap of paper. Processing is what transforms a raw stack of acquired books into a usable, searchable, and well-managed collection.

Why is processing essential in libraries?
A library may acquire hundreds or thousands of documents in a year, but none of them are ready for use the moment they arrive. They are still anonymous objects with no mark of ownership, no place on the shelf, and no entry in any record. Processing solves all three problems at once. The journey of every document to its reader begins in the acquisition section, but it is the technical section that prepares these materials for use by the people who will eventually read them.
The first reason processing matters is ownership identification. Libraries lend out their materials, and items travel in and out constantly. Each document must carry a clear mark that it belongs to a particular library so that it can be traced, recovered, and returned to its rightful place. A property stamp and an accession number give every item a unique identity within the collection.
The second reason is organization and retrieval. The sheer growth of published information has made it impossible to manage a collection without a system. Documents must be arranged so that subjects stay together, storage is systematic, and any item can be located quickly. As one comprehensive account explains, library materials go through technical processing precisely so that they can be located, used, and returned to the library at their requisite place. Processing, in short, is the bridge between simply owning books and actually being able to serve readers with them.
Organizational structure of processing work
In most libraries, processing is not a single task done by one person. It is organized into a dedicated department, often called the Technical Processing Section or simply the Technical Section. This section is sometimes described as the backbone of the library because it works quietly in the background, and most users never realize how much preparation happens before a book is ready to be issued.
The work of this section is broadly divided into three functional units that handle different stages of preparation.
Classification unit
This unit determines the subject of each document and assigns it a class number using a standard classification scheme. Classification is what allows books on the same subject to sit together on the shelf, so a reader looking for one book on a topic naturally finds related ones nearby.
Cataloguing unit
This unit creates the records that describe each document and tell users where to find it. Cataloguing produces the entries, whether on cards or in a computer database, that allow a reader to search by author, title, or subject and then locate the item.
Physical processing unit
This unit handles the hands-on preparation: stamping, labelling, attaching due-date slips, fixing protective covers, and adding barcodes or RFID tags. It is the stage that physically readies the document for the shelf and for circulation. These three units together cover the chief activities of the section, which are classification, cataloguing, physical processing, shelving, and filing of library material.
Roles and responsibilities of processing personnel
Because processing involves both intellectual judgment and careful manual work, the staff in this section need a mix of skills. The two central activities, classification and cataloguing, are highly technical in nature, and accuracy is the essence of all technical processing work. A small error in a class number or a catalogue entry can make a document almost impossible to find later.
The classifier
The classifier must be able to read a document, understand what it is really about, and translate that subject into a class number using the chosen scheme. This demands subject knowledge, familiarity with the classification scheme, and good judgment. When a topic is new or not directly listed in the scheme, the classifier may need to consult new bibliographies and reference tools to decide where the document belongs.
The cataloguer
The cataloguer prepares the descriptive records and assigns subject headings and added entries. Good cataloguing requires precision and an understanding of how different users will search for a document. Since readers approach the catalogue from many angles, the cataloguer must anticipate these different approaches of users and build entries accordingly. The legendary librarian S.R. Ranganathan even suggested that large libraries keep at least two copies of the catalogue, one for readers and a separate set for the technical staff, sometimes called the “Official Catalogue”, kept within the technical section itself.
Steps in physical processing
Once a document has been classified and catalogued, it moves to physical processing, where it is made ready for the shelf. The exact steps vary from one library to another and by the type of material, but a typical sequence follows a clear order.
Accessioning
Each document must be uniquely distinguished from every other. Recording its details in the accession register is called accessioning, and this register remains an essential permanent record of everything the library owns. Each item receives an accession number that becomes its individual identity.
Stamping the property mark
A property stamp is applied to fixed pages of the document to establish ownership. This is a simple but vital step, since it marks the item permanently as belonging to that particular library.
Writing the call number
The call number, made up of the class number and a book number, is the document’s shelf address. It is conventionally written in several places so it can always be matched and traced. In practice the call number is written on the title page, the date label, the book card, and the spine of the book. The spine label is what lets staff and readers spot the book on a crowded shelf at a glance.
Labelling and protection
Physical processing also includes attaching due-date slips, fixing book cards and pockets, and adding plastic covers, lamination, or cases to protect the material so it survives heavy handling. In automated libraries this stage now includes barcode labels, spine labels, and RFID tags as standard items.
Catalogue filing
In a traditional card system, the prepared catalogue cards are filed into the catalogue cabinet in their correct order, so that the entry for each new document becomes searchable. After processing is complete, documents are returned to the head of the technical department for distribution and shelving.
Automation trends
The arrival of computers has reshaped much of this work. With library automation, technical processing is increasingly handled through software, and tasks that once took hours by hand are now far quicker. Indian libraries commonly use software such as Koha, SOUL, and e-Granthalaya to manage records and generate labels. Barcodes and RFID tags have moved many libraries toward self-service, where a reader can borrow a book in seconds rather than waiting for manual stamping at a counter. RFID readers do not even need a direct line of sight and can read multiple tags at once, which also speeds up stock verification of an entire collection. Even so, the underlying logic of processing, identify, organize, and prepare, stays the same whether the work is done on paper or on a screen.
Technical processing: classification and cataloguing
Of all the steps, classification and cataloguing form the intellectual core of processing. They are the two functions that genuinely determine whether a collection is usable.
Classification schemes
Classification means sorting documents on the basis of subject, determining the specific subject of each one, and assigning a class number using a standardized scheme. Several major schemes exist, each with its own structure and notation.
The Dewey Decimal Classification (DDC), first published by Melvil Dewey in 1876, is the oldest and most widely used scheme in the world. It uses a purely numerical, decimal notation and is valued for being flexible enough to incorporate new subjects as they emerge. Its most recent major print revision is DDC 23.
The Universal Decimal Classification (UDC) was developed by the Belgian lawyers Paul Otlet and Henri La Fontaine, who built on Dewey’s system with his permission in the 1890s. UDC is described as the world’s foremost multilingual classification scheme for all fields of knowledge, and it uses an analytico-synthetic approach that lets a classifier combine notations for different elements of a complex subject.
The Colon Classification (CC) holds special importance here because it was created by Dr. S.R. Ranganathan in 1933 and is regarded as one of the earliest faceted classification systems. Instead of forcing every subject into a fixed list, it breaks a subject into facets and combines them, which makes it flexible and well suited to complex topics. While DDC is the global standard, studies of Indian libraries note that both DDC and CC are commonly used, and that Colon Classification is especially designed to be tailored and applicable in the Indian context.
The importance of cataloguing for accessibility
If classification decides where a document sits, cataloguing is what makes it findable. A library catalogue is essentially a register of all the bibliographic items in a library or a network of libraries. Each catalogue entry records details such as the title, author, edition, publication details, physical description, and standard number like the ISBN. To keep these records consistent across many cataloguers and across time, libraries follow standard cataloguing rules. The most widely used set in the English-speaking world has long been the Anglo-American Cataloguing Rules, with newer libraries increasingly adopting the RDA standard and machine-readable MARC formats for digital catalogues.
The value of cataloguing is simple but profound: it gives the reader multiple doors into the collection. A user who knows only the author, or only the title, or only the subject can still reach the right document. Without a catalogue, a reader would have to physically walk the shelves and hope to stumble upon what they need. With one, the entire collection becomes searchable in moments. This is why classification and cataloguing are performed together in the same technical section, since it is both logical and economical to handle these two activities together.
