Walk into any well-run library and you will notice that the books are only half the story. The other half sits quietly in the background: the catalogue cabinet near the entrance, the long reading tables under good light, the rows of shelving that hold the collection, and the chairs that let a reader sit comfortably for hours. Furniture and equipment are the physical backbone of every library service. They decide how easily a reader finds a book, how long a student stays to study, and how well the collection survives over decades. Getting these choices right is a planning decision, not a decorative afterthought.

Modern library furniture needs
A library’s furniture must do three things at once: store the collection safely, support readers in using it, and help staff run daily operations. These needs translate into a fairly standard set of items that almost every library requires, whether it serves a village panchayat or a large university.
Furniture that supports the collection
The most space-consuming furniture is shelving, also called book racks or stacks. Open-access shelving lets readers browse freely, while closed stacks store less-used material. Shelving must be strong enough to bear the weight of densely packed books without sagging, and adjustable enough to fit volumes of different heights. Alongside shelving, libraries use display racks for new arrivals, periodical display units with sloping faces for current journals, and atlas and newspaper stands for oversized material that cannot sit upright on a normal shelf.
Furniture that supports readers
Reading tables and chairs form the heart of the reading room. Tables are usually designed for a fixed number of readers, with enough surface area for books and note-taking, and chairs should support good posture for long study sessions. Many libraries also provide study carrels, which are individual partitioned desks that give researchers privacy and a quiet place to concentrate. Comfort here is functional, not a luxury, because uncomfortable seating directly shortens the time a reader is willing to spend with the collection.
Furniture and equipment that support service points
The circulation counter or charging desk is where issue and return of books happens, so it needs space for records, a computer terminal, and movement of staff. The catalogue cabinet historically held thousands of catalogue cards in shallow drawers and was the reader’s main tool for locating material. While the card catalogue has largely been replaced by computerised catalogues, the cabinet remains a recognisable piece of library furniture and still appears in many older institutions. Supporting equipment includes book trolleys for moving returned books back to the shelves, filing cabinets for administrative records, and record-keeping equipment such as the Kardex once widely used to track periodical subscriptions.
The wood versus steel debate
One of the oldest practical questions in library planning is what material the furniture should be made of. For most of the twentieth century the choice was between timber and steel, and today the trend is toward a thoughtful mix of both. Each material brings clear advantages, and a sensible library uses each where it performs best.
The case for steel
Steel is the workhorse of high-traffic libraries. It is highly durable, resistant to pests such as termites and silverfish, and easy to wipe clean and disinfect. Steel shelving is often chosen for public and educational libraries because it is strong, easy to adjust, and versatile. Because steel is strong, the shelves themselves can be thinner, which means more shelves fit into the same height and the library gains storage capacity. Modular steel systems are also easy to expand as a collection grows, so a library can add units without replacing what it already owns. The main drawbacks are that steel can give off a cold, industrial feel, and rising steel prices have made it more expensive than it once was.
The case for wood
Wood offers what steel cannot: warmth and a sense of welcome. Wooden fixtures create a calm environment that encourages reading and study, and they can be stained or finished to match the character of a building. Solid wood also holds heavy volumes well and resists sagging. The trade-offs are that wood is generally seen as less durable than steel, harder to clean, and more vulnerable to moisture and pests if not properly treated. It also usually carries a higher initial cost for good quality.
Why the mix wins
The modern approach combines the two. A common solution is shelving with a steel frame and steel shelves dressed with wooden end-panels and trim, giving the strength of steel with the appearance of wood. This hybrid lets a library place hard-wearing steel where the daily wear is heaviest, while reserving the warmth of timber for reading rooms and reference areas where readers spend the most time. The result balances the two competing goals every library faces: long-term functionality and an inviting atmosphere.
Designing for all users
Furniture that suits an average adult reader can quietly exclude large groups of people. A child cannot use an adult-height reading table, and a wheelchair user cannot pull up to a desk with no clearance for their knees. Good libraries plan furniture so that everyone in the community can use the collection comfortably and independently. This principle is often called universal design.
Furniture for children
Children’s sections need their own scale. Tables and chairs should be lower, shelving should be short enough for small hands to reach, and edges should be rounded for safety. Bright, robust furniture and informal seating help make the space feel friendly rather than intimidating. Picture-book bins and low display units let young children browse by sight, which suits readers who cannot yet read spine labels. The aim is a space where a child can find and handle books without an adult lifting them to a high shelf.
Furniture for users with disabilities
Accessibility begins with movement. Aisles and the paths between shelves should be wide enough for wheelchairs and obstruction-free, including in the children’s area. Seating should be universally accessible where possible, and table heights should accommodate wheelchair or scooter users by leaving adequate knee clearance underneath. Where books sit on very high or very low shelves, staff should be ready to help, but well-planned shelving reduces how often that help is needed.
The underlying idea of universal design is broader than meeting a minimum standard. The principles, originally developed by architect Ronald Mace and his team, aim to make spaces usable by people of all ages and abilities through a single shared solution rather than separate, segregated arrangements. In practice this favours flexible, movable furniture and a variety of seating so that readers with different needs can all find a comfortable place. Designing this way reflects the basic purpose of a public library: accessibility for everyone is fundamental to the very concept of the public library.
Selecting and specifying library furniture
Buying furniture is one of the largest capital expenses a library makes, and the items are expected to last for decades. Careless purchasing leads to mismatched units, premature wear, and wasted budget. Careful selection rests on two habits: writing clear specifications and preferring standard products.
Writing a clear specification
A specification is a written description of exactly what is being ordered, and it protects the library when furniture is bought through tender or from a manufacturer. A good specification states the dimensions, the materials, the construction method, the finish, and the load the item must bear. For shelving and tables, that means stating things such as frame strength and surface durability rather than leaving them to the supplier’s discretion. Industry guidance recommends specifying measurable details such as steel tube wall thickness and powder-coat thickness, and naming the table-top material such as high-pressure laminate or sealed solid wood. The clearer the specification, the smaller the gap between what the library expects and what arrives.
The value of standard products
Wherever possible, libraries should choose furniture built to recognised standards rather than one-off custom designs. Standard products are easier to repair, replace, and extend, because matching units remain available years after the first order. India has a well-developed set of standards for this purpose. The Bureau of Indian Standards (BIS), working through a committee first chaired by Dr S. R. Ranganathan, issued specifications for library furniture and fittings in both timber and steel, along with a code of practice for the primary elements of library building design. Later standards cover steel and wooden shelving cabinets specifically. Buying to these standards gives a library confidence that the furniture has been designed for real library conditions and that replacements will fit the existing system.
Matching furniture to the library
Finally, the quantity and type of furniture should be estimated from the library’s actual workload, not guessed. The standards approach estimates furniture and equipment from the size of the collection, the number of readers expected, and the number of staff. A reading room is sized for a target number of seats; shelving is sized for the current collection plus a margin for growth. Planning this way avoids both the overcrowded library that turns readers away and the half-empty one that has wasted its budget on furniture it does not need.
