Word processing is one of the most practical skills you can build, whether you are preparing assignments, drafting reports, or applying for jobs. LibreOffice Writer makes this easy because it is free, open source, and runs on Windows, macOS, and Linux without any licensing cost. Writer is the word processor component of the LibreOffice suite, and it offers nearly everything you would expect from a modern document editor, including spelling check, mail merge, change tracking, and styles. This guide walks you through the core features so you can move from typing plain text to producing polished, professional documents.

Working with text efficiently

Before you format anything, you need to be comfortable handling the text itself. Selecting, copying, pasting, and moving text quickly will save you a lot of time, especially during long assignments or reports.

Selecting text

The most basic way to select text is to click and drag with your mouse. Writer also offers faster shortcuts. A double-click selects a single word, a triple-click selects a sentence, and a quadruple-click selects the whole paragraph. To select everything in the document, press Ctrl+A. You can also hold Shift and use the arrow keys to extend a selection one character or line at a time, which gives you precise control.

Copying, cutting, and pasting

Once text is selected, the standard shortcuts apply: Ctrl+C copies, Ctrl+X cuts, and Ctrl+V pastes. A particularly useful feature is Paste Special (Ctrl+Shift+V). When you copy text from a website or another document, it often brings unwanted formatting along with it. Paste Special lets you insert the content as unformatted text, so it matches the style of your current document instead of clashing with it.

Moving text

To reposition a block of text, you can cut it and paste it elsewhere, but Writer also supports drag and drop. Select the text, then click and hold while dragging it to the new location. For small adjustments, place your cursor in a paragraph and press Ctrl+Alt+Up or Ctrl+Alt+Down to move the entire paragraph up or down without cutting and pasting at all. This is handy when you are reorganising the flow of an essay.

Formatting text and pages

Good formatting is what separates a rough draft from a finished document. Writer gives you direct formatting tools for quick changes and a powerful styles system for consistent, professional results.

Using styles for consistency

Many beginners format text manually, selecting each heading and changing its font and size by hand. This works for a one-page note but becomes a nightmare in longer documents. Styles solve this problem by letting you make a single change that updates every instance at once. If you decide all your headings should be a different colour, you edit the style once instead of hunting through dozens of pages.

LibreOffice Writer offers several types of styles. A paragraph style applies formatting to an entire paragraph, controlling alignment, spacing, and indentation. Character styles format individual words or phrases, such as italicising a single term. Page styles define margins, headers, and footers, while frame and list styles organise images and structured lists. To open the styles panel, press F11 or click the styles icon in the sidebar, then double-click a style to apply it.

Styles are not just about appearance. Writer relies on heading styles to build a table of contents automatically, so applying Heading 1 and Heading 2 properly means you can generate a clickable contents page with a few clicks.

Creating lists

Writer supports both ordered (numbered) and unordered (bulleted) lists. You can apply them quickly using the toolbar buttons, but for important documents the recommended approach is to use paragraph styles to create lists wherever possible. Writer comes with built-in list styles, and you can even create nested lists where items have sub-items beneath them, much like an outline. This is useful for structuring research notes or step-by-step procedures.

Page layout

Page formatting is handled through page styles. You can set margins, paper size, orientation, and columns to suit your needs. A common requirement is a first page that differs from the rest of the document, such as a report cover with no header. Writer lets you define a separate First Page style and have the Default style apply automatically to the pages that follow, so you do not have to manage each page manually.

Advanced features that save time

Once you are comfortable with formatting, Writer’s advanced tools can dramatically speed up repetitive work and improve collaboration.

Mail merge

Mail merge is one of the most powerful features in any word processor. It lets you create many personalised copies of a single document, such as form letters, certificates, mailing labels, or envelopes, each addressed to a different recipient. Instead of typing every name manually, you pull the data from an external source.

The process begins with a data source. LibreOffice can create the database from spreadsheets, text files, or databases such as MySQL. If your data is in a format Writer cannot read directly, you export it to a CSV file first. The data source must be registered so Writer can access it, which you only need to do once through File > Wizards > Address Data Source.

After registering, press F4 to view your data sources, then drag the column headings you need into your letter template. Finally, run the Mail Merge Wizard from the Tools menu. The wizard walks you through selecting the starting document, choosing whether to produce letters or emails, inserting the address block, and finally generating the output. You can print the documents directly or save them as a single combined file or as separate files for each recipient. This is invaluable for sending invitations, issuing student score reports, or printing event passes in bulk.

Tracking changes

When you collaborate on a document or revise your own work, tracking changes keeps a clear record of every edit. To switch it on, choose Edit > Track Changes > Record before you start editing. Writer then displays added or deleted text and formatting changes using revision marks, often called redlines. Reviewers can add comments to explain their edits, and the document owner can accept or reject each change individually. This is essential for group projects, dissertation reviews, and any situation where feedback needs to be transparent.

Writer can insert hyperlinks that point to websites, email addresses, or other parts of the same document. You can add one manually through Insert > Hyperlink. Interestingly, Writer also creates links for you automatically. When it recognises a string of characters that looks like a web address, it replaces the text with a hyperlink formatted in the Internet Link character style. If you find this behaviour distracting, you can switch it off under the AutoCorrect options.

Enhancing your documents

The final layer of polish comes from Writer’s accuracy and convenience tools. These features catch mistakes and handle small details so your finished document looks professional.

Spell check

Writer checks spelling as you type, underlining suspected errors in red. You can right-click an underlined word to see suggestions and replace it instantly. For a full review, press F7 to run a complete spelling check across the document. Because the audience here often works in multiple languages, it helps to set the correct document language so that English, Hindi, or other regional words are checked against the right dictionary.

AutoCorrect

AutoCorrect fixes common typing errors automatically and applies certain formatting as you write. You can configure it through Tools > AutoCorrect > AutoCorrect Options. It can capitalise the first letter of a sentence, correct two initial capitals, and replace common misspellings. It also has clever shortcuts, such as creating a table when you type a series of hyphens separated by plus signs, or converting straight quotes into curly ones. While useful, AutoCorrect can sometimes change things you did not intend, so it is worth reviewing the settings and turning off any behaviour that gets in your way.

Inserting special characters

Sometimes you need symbols that are not on the keyboard, such as currency signs, mathematical operators, accented letters, or copyright marks. Choose Insert > Special Character to open a dialog where you can browse and insert these characters. Writer also keeps a list of recently used symbols, which speeds things up when you need the same character repeatedly, such as the degree sign in a science report or specific symbols in a language document.

Bringing it all together

LibreOffice Writer is far more than a simple typing tool. By combining efficient text handling, consistent styles, and time-saving features like mail merge and change tracking, you can produce documents that look professional and are easy to maintain. The best way to learn is to practise. Start with styles, since they form the foundation of clean formatting, then gradually explore the advanced tools as your projects grow more demanding. Because the software is free, there is no barrier to experimenting and building these skills at your own pace.
